Gab Waller has a new and exciting opportunity for a Business Operations Coordinator to join our team. The role requires a master multi-tasker with excellent communication skills, immaculate attention to detail, and a genuine desire to assist our amazing clients and ensure seamless sales. We are looking for a proactive self starter, who thrives on working independently.
Candidates should be confident and comfortable in the fast-paced aspect of the role, which involves working independently to own and manage various tasks throughout their day. In addition, they should be confident in their ability to handle any issues that arise (including logistical challenges) and take initiative to find solutions. Operations and Logistics (70%)
- Accurately transfer requests from Instagram DM and email onto supporting platforms
- Book client shipments and send client tracking, paying close attention to logistical considerations
- Maintain responsibility for sourcing from within the United States market
- Pack and organize shipments for all orders dispatched from the Los Angeles office
- Manage all communication with DHL/shipping carriers
- Maintain responsibility for order tracking, closely monitoring all orders and providing client updates when needed
- Complete weekly shipping reconciliation reports for all shipping accounts
- Provide real-time Instagram DM (when required) and email support (daily) by answering client queries
- Order office and shipping supplies for all offices
- Independently manage client concerns and feedback
- Assist in managing our international team
- Create invoices for clients in a timely manner, as required
- Communicate finds and their accurate pricing, as required
Personal & Executive Assistance (20%)
- Provide personal and executive assistance to the Founder, Gab Waller, as required
- Manage aspects of Gab's schedule and communications, including personal emails
Creative Work (10%)
- Assist with flat lays, product photos, and 'behind the scenes' visual content, as required
- Contribute ideas for social media engagement and brand growth - we encourage and welcome any and all ideas!
- Help organize and manage digital assets
- Assist with graphic design tasks
- Excellent organizational and multitasking abilities
- Strong attention to detail and problem-solving skills
- Proficient in Google Workspace
- Exceptional written and verbal communication skills
- Self-motivated with ability to work independently and as part of a team
- Experience in customer service or client relations preferred
- Interest and/or experience in social media content will be highly favored
- Photoshop, Illustrator, and/or Canva experience will be highly favored
