Human Resources Coordinator
Position Description

SUMMARY: Under the general supervision of the Director of Human Resources.
ESSENTIAL FUNCTIONS
Duties
- Demonstrates prompt and regular attendance
- Works closely with the Human Resources Director
- Responsible for onboarding and offboarding employees in Frontline HR, Munis, and Employee Self Service
- Sends forms/packets to new employees via Frontline
- Reports new employees in GaDOL portal
- Maintains Excel/Google spreadsheets with new employee data
- Assists with New Teacher Orientation processes
- Responsible for importing, reviewing, and updating all employee data in Munis database
- Assists with Employee Personnel Records Release Requests
- Assists with Open Records Request as needed
- Assists with Workers Compensation claims as needed
- Utilizes E-verify system for all new and existing employees
- Maintains personnel files and records in Frontline HR platform
- Updates new hire forms in Frontline HR such as W2, W4, I-9, and Direct Deposit forms, etc.
- Creates new online forms/packets in Frontline HR as needed
- Coordinates fingerprinting and background checks with third party providers (Pioneer RESA/Gainesville Police) or GCSS own fingerprinting system
- Coordinates fingerprinting audit with GBI
- Maintains records to ensure that various district personnel have up-to-date security training
- Assists in the employee badge making process as needed
- Assists employees with benefits enrollment and enrollment changes via ADP (Automatic Data Processing) website and Plan Source website
- Responsible for State Health Benefit Plan (SBHP) reporting
- Responsible for Affordable Care Act (ACA) mandated yearly reporting and oversees 1095 C forms yearly distribution to employees
- Completes monthly bill reconciliation for all benefits
- Submits required monthly and yearly reports as applicable
- Coordinates the Shared Savings program
- Coordinates the hiring, training, and onboarding of substitute teachers
- Ensures that substitutes complete Compliance Director modules annually
- Gather Cert IDs for TKES platform
- Updates names of substitutes in the Frontline Absence Management Platform
- Send updated substitute lists to schools periodically throughout the school year
- Communicates and processes Family and Medical Leave Act (FMLA) and Paid Parental Leave (PPL)
- Communicates and processes Americans with Disabilities (ADA) inquiries
- Assists new retirees with required paperwork for the Teacher Retirement System (TRS) or Public School Employees Retirement System (PSERS) which includes sick leave certification forms and contribution forms as applicable
- Works closely with Corebridge Financial regarding 403b and 457b enrollment for monthly and annual reporting
- Sends correspondence to employees annually regarding the Catastrophic Leave Membership Drive
- Purchases job fair paraphernalia and monitors inventory
- Processes purchase orders for the Human Resources Department
- Submits SBO monthly payroll report
- Attends Human Resources workshops and additional HR-related meetings as needed
- Assists with the district job fair
- Attends the college/university/school career fairs
- Sends Separation Letter to terminated employees
- Sends HR correspondence to employees as needed
- Maintains Notary certification
- Assists with Frontline and Employee Self Service account access, login issues, and software updates
- Works effectively and cooperatively with administrators, teachers, and staff
- Assists Central Office administrators as needed
- Handles all duties in a timely and organized manner
- Performs additional duties as needed
REQUIRED QUALIFICATIONS:
- Bachelor’s degree or higher preferred
- Effective communications skills
- Bilingual speaking and writing skills preferred
- Analytical and problem solving skills
- Effective time management skills
- Proficient computer skills such as Microsoft Office, Google, etc.
PHYSICAL DEMANDS:
- Routine physical activities associated with typical office setting
- Ability to exert up to 20 pounds of force occasionally, and/or up to 10 pounds frequently, and/or a negligible amount of force constantly to move objects.
- Frequent sitting, standing, walking, bending, stooping, kneeling, crouching, reaching, handling and repetitive fine motor activities.
- Vision, hearing and verbal communications are essential functions of this position.
