Job Title: Executive Assistant - Boston (Onsite)
Location: Boston, MA
The Executive Assistant to the Global Head of Research & Development must be experienced and highly organized to provide high-level support to several members of the Senior R&D Leadership Team. The successful candidate will manage executive schedules, coordinate travel, prepare presentations, and act as a key liaison across departments. This role requires an adept communicator with exceptional attention to detail and the ability to thrive in a fast-paced environment. Based on-site in our Boston, MA office, this position is an ideal opportunity for a proactive professional with a commitment to excellence in executive support.
Essential Functions
Executive Support:
- Provide comprehensive administrative support to members of the Senior Leadership Team, including scheduling, calendar management, and prioritization of tasks.
- Manage all communications on behalf of executives, handling sensitive information with discretion and confidentiality.
- Prepare, edit, and format presentations, reports, and documents for executive meetings.
Calendar & Meeting Management:
- Coordinate complex and frequently changing calendars across multiple time zones, ensuring executives are well-prepared for all engagements.
- Schedule, organize, and facilitate executive meetings, including agenda creation, minute-taking, and follow-up on action items.
- Serve as a point of contact for scheduling cross-functional meetings with internal and external stakeholders.
Travel & Expense Management:
- Arrange international and domestic travel, including flights, accommodations, and ground transportation.
- Prepare detailed itineraries and proactively resolve travel-related issues.
- Oversee expense reporting, ensuring timely and accurate submission in alignment with company policies.
Project Coordination & Communication:
- Assist in the coordination of special projects, events, and team offsites as needed.
- Act as a liaison between the Senior Leadership Team and internal departments, fostering strong communication and collaboration.
- Support communication needs, such as drafting memos, organizing email communications, and maintaining executive databases.
Office Management & Operational Efficiency:
- Collaborate with administrative staff and provide mentorship to junior assistants to optimize support functions.
- Suggest and implement improvements to administrative processes and tools that enhance productivity and efficiency.
Minimum Education, Knowledge, Skills, and Abilities
Experience: Minimum of 5 years as an Executive Assistant, with at least 2 years in a senior or high-level support role.
Education: Bachelor's degree in Business Administration, Communications, or related field preferred
Skills:
- Exceptional organizational and time-management abilities.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with collaboration tools (e.g., Zoom, Teams, Slack).
- Excellent verbal and written communication skills, with a high level of professionalism.
- Strong problem-solving skills and a proactive approach to identifying and resolving issues.
- Ability to manage confidential information with discretion and tact.
- Ability to handle high-pressure situations calmly and adapt to changing priorities in a dynamic environment.
