Accounting Clerk-Job Description
Overview: The Accounting Clerk is responsible for the day-to-day accounting operations including accounts payable, account receivables, collections and daily accounting support to support to the Controller.
Accounts Payable
- Review all invoices for appropriate documentation and approval prior to payment
- Process invoices, matching invoices to P.O.
- Audit and process credit card bills
- Match invoices to checks, obtain all signatures for checks and distribute checks accordingly
- Respond to all vendor inquiries
- Reconcile vendor statements, research and correct discrepancies
- Assist in month end closing
- Maintain files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices
Collections
- Contact customers regarding overdue accounts and determine reasons for non-payment
- Making outbound collection calls in a professional manner while keeping and improving customer relations.
- Resolves client-billing problems and rescues accounts receivable delinquency, applying good customer service in a timely manner.
- Collect customer payments in accordance with payment due dates.
- Identify issues attributing to account delinquency and discuss them with the sales person.
- Review and monitor assigned accounts and all applicable collection reports.
- Provide timely follow-up on payment arrangements.
- Mail correspondence to customers to encourage payment of delinquent accounts.
- Issue monthly statements to customers with multiple open invoices.
General Office
- Assist with the office phones.
Accounting
- Assist Controller with other projects as needed
Goals
- Get Flex to export PO’s and Invoices with more account/item details.
- Keep Flex PO system organized and clean. F/U on open PO’s that we haven’t received an invoice for.
- Generate and implement new ideas that will help the accounting department improve.
Job Type: Full-time
Schedule:
- 8 hour shift
- Monday to Friday
Experience:
- QuickBooks: 1 year (Preferred)
