Functions
The operations secretary will:
- Transfer and set up conference calls and meetings.
- Assist front desk receptionist with phone duties.
- Distribute invoices from accounting to manager for approval.
- Assist with crew changes, payroll, and requisition systems.
- Maintain all necessary documents in the Vault.
- Request information from vessel manager for meal tickets and billing.
- Collect information needed to apply for visas/licenses.
Minimum Qualifications
- Computer proficiency and technical aptitude with the ability to use Microsoft products, including PPT
- Ability to work effectively in a team environment
- Capability of effective planning and priority setting
- Ability to manage several complex projects simultaneously
- Communication and organization skills
- High school diploma or equivalent
Occasional evening and weekend work may be required.
