As an HR & Admin Assistant, you will be responsible for a broad range of administrative, HR, and office management tasks. Your role will be critical in ensuring smooth office operations, employee engagement, compliance with regulatory requirements, and effective coordination with vendors and external partners.
This role is an office based role with occasional travel required for vendor meetings or site inspections. Flexibility may be required to accommodate urgent office or HR-related needs.
This position is a critical support role within the company, ensuring that employees, office operations, and compliance requirements are well managed and maintained

Responsibilities

General HR Responsibilities ๐โโ๏ธ
- Assists employees with benefits enrolment, questions, and claims resolution.
- Coordinates with benefits providers and ensures compliance with company policies.
- Maintains accurate records of benefits enrolment and updates.
- Facilitates onboarding for new hires, including paperwork, system access, and welcome packages.
- Coordinates and performs payroll tasks while collaborating with the payroll department for accurate and timely disbursement of salaries.
- Collaborates with Finance on the processing of GG US invoices for services rendered, ensuring timely payments.
- Organizes employee engagement activities such as Kit Kat November, holiday treats, Thanksgiving, Halloween events, walking challenges, team lunches, and the holiday party.
- Supports office network setup and troubleshooting in collaboration with IT.
- Coordinates with internet service providers and IT vendors for maintenance.
- Keep emergency contact information of employees up-to-date.
- Works with management to select and procure office decor, furniture, and artwork.
- Manages the printing, collation notarization, and shipping of important documents.
- Identifies and resolves safety hazards in the office to ensure a safe workplace.
- Management of office supplies,, snacks, employee packages, and company materials.
- Liaises with Landlord, contract holder of our sub-lease and facilities related vendors such as cabling and electrical projects..
- Completes the ISO Site Audit Checklist for facilities-related compliance.
- Serves as the primary point of contact for landlord and property management communications.
- Manages paperwork related to business licenses and regulatory compliance.
- Other duties as required
