Summary of Responsibilities:
The Receptionist serves as an ambassador to the assisted living program and supports the Administrative staff. All responsibility will be conducted in a manner that is consistent with the missions and philosophy of Garden View Assisted Living.
Essential Duties and Responsibilities:
1. Serves as an Ambassador of goodwill to all who enter Garden View. Greets all visitors, vendors, and volunteers in a friendly, courteous, and professional manner.
2. Answers and screens all incoming telephone calls in a courteous and professional manner. Routes calls and takes messages, as directed.
3. Gives basic facility information, such as brochures and information packets to persons wanting information about our community. Forwards all inquiries to the Executive Director or Assistant Residence Director. Schedules tours who wish to visit the community.
4. Arranges meetings/conferences, schedules appointments/interviews, and performs other duties related to the Administration Department.
5. Screens and requires visitors to “sign-in & sign-out” at reception desk. Notifies residents of visitors.
6. Notifies Executive Director of sales personnel arrival and verifies appointment.
7. Receives processes and directs mail for facility staff. Accepts all outgoing mail/packages.
8. Accepts and delivers papers to each apartment and to the Life Enrichment Coordinator.
9. Types, copies, orders, tracks and maintains inventory of office supplies, and performs other clerical duties as assigned.
10. Maintains office/lobby keys.
11. Maintains and update log of all resident emergency phone numbers. Keeps logs at front desk.
12. Inputs proper and directed information into emergency call system as needed.
13. Maintains and updates emergency contact information on resident. Keeps information at front desk.
14. Maintains and updates communication logbooks. Keeps logs at front desk.
15. Assists Life Enrichment Coordinator in daily Activities/Marketing events and duties as directed.
16. Assists Executive Director in adherence to Louisiana State Regulations, and Facility Policy.
17. Maintains employees & resident birthday list and mails birthday cards to both in a timely manner.
18. Assists in implementing the facility’s marketing plan, under the direction of the Executive Director and Assistant Residence Director.
Other Duties:
1. Performs other duties as assigned or as needed to ensure quality programming and/or a safe and secure environment for residents and staff of Garden View.
Qualifications:
1. Must possess a high degree of interpersonal relations skills and capability of relating to a variety of people and personalities. Considerable initiative and judgment is also required.
2. Must have word processing, computer, and clerical skills.
3. Must be proficient in Microsoft Programs such as Word, Excel and Publisher.
4. Must be able to work flexible hours and participate in holiday activities.
Working Conditions:
1. Exposure to body fluids, infection, odors, and behavior of residents.
Physical demands:
1. Must possess sight / hearing senses, or use prosthetics so that will these senses to function adequately so that the requirements of this position can be fully met.
