Position Summary
The Accounting Assistant supports the organization's financial functions by performing a variety of essential tasks, including processing weekly accounts payable invoices, preparing and reviewing checks, and assisting with month-end financial activities. This role is also responsible for entering organizational data into survey platforms and extracting and organizing data for analysis, maintaining and ordering supplies, and assisting with other accounting functions as needed.
Essential Job Functions and Responsibilities
- Enters weekly accounts payable invoices and prepares and reviews checks for payment.
- Assists with month-end duties; depositing checks and cash, performing journal entries, printing bank statements, etc.
- Accurately inputs organizational data into various survey platforms, ensuring that all required fields are completed in alignment with survey guidelines and criteria.
- Retrieves and compiles data from various internal systems and databases, ensuring the accuracy and completeness of the extracted information. Organizes and inputs the data into spreadsheets, following established formats and guidelines to facilitate analysis.
- Orders, receives and dispenses office and other supplies, including monitoring printer and copier toner per vendor contract.
- Acts as point of contact for postage machine issues, FedEx shipments, and related items.
- Creates invoices for leased space.
- Assists with the accounting procedures for self-funded health insurance.
- Completes monthly required checks on Systems for Award Management website, and Office of Inspector General website, and any other mandated checks on both vendors and employees.
- Maintains employee vehicle insurance spreadsheet, ensuring any employees reimbursed for mileage through payroll have valid vehicle insurance.
- Acts as backup for processing bi-weekly payroll.
- Performs other duties as assigned.
Minimum Qualifications
Minimum of an Associate Degree in Accounting is preferred.

Competencies Required
Basic knowledge of accounting and payroll principles, rules, and regulations.
Possess interpersonal, communication, and listening skills necessary to deal effectively and courteously with physicians, coworkers, vendors and all levels of staff.
Ability to maintain strict confidentiality of personnel, fiscal, and health information.
