We are hiring a Medical Spa Manager!
We are seeking a professional with experience in sales, marketing, and office management to handle front desk and back-office operations.
Key Responsibilities:
- Administrative and Operational Management:
- Analyze and improve existing front and back desk processes.
- Ensure all patient charts are complete and contain the necessary information.
- Enforce policies such as cancellation fee collection.
- Customer Service and Appointment Management:
- Answer phone calls and manage appointment bookings.
- Collect deposits to confirm appointments and ensure patient attendance.
- Address patient inquiries and resolve issues efficiently.
- Process Auditing:
- Identify and resolve issues in administrative or customer service systems.
- Ensure proper use of medical management software and accurate digital documentation.
- Performance Optimization:
- Propose workflow improvements to maximize efficiency.
- Assist in implementing strategies to enhance the customer experience.
- Daily Tasks:
- Manage patient communications (emails, calls, appointment reminders, and scheduling).
- Process intake forms, invoices, and consent forms.
- Handle inventory, membership accounts, and Google review requests.
- Prepare daily reports and ensure accurate documentation.
- Operate systems like Dialpad and Sunshine for call management.
Ideal Candidate Profile:
- Previous Experience:
- Background as a medical assistant, administrative coordinator, or similar role in a medical spa or clinic.
- Familiarity with medical management software (e.g., Aesthetic Records or similar systems).
- Organizational Skills:
- Ability to identify system issues and propose practical solutions.
- Strong attention to detail to review and complete medical documentation.
- Interpersonal Skills:
- Excellent communication skills with patients and team members.
- Customer service-focused to ensure a positive patient experience.
- Flexibility and Commitment:
- Willing to work one day a week initially, with the possibility of expanding hours in the future.
Job Type: Part-time
Pay: $12,480.00 per year
