We are currently looking for a highly organized and detail-oriented Administrative Assistant to support our Director of Sales and Inventory. This role requires strong administrative skills, a keen eye for detail, and proficiency in Excel to manage sales tracking and documentation.
Position Overview:
As the Administrative Assistant, you will work closely with the Director of Sales and Inventory to manage various administrative tasks, support the sales team, and ensure smooth operations within our sales and inventory pipeline. This role requires someone who is highly organized, efficient, and capable of handling multiple responsibilities simultaneously. The ideal candidate will be proficient in Excel, with the ability to create and manage sales tracking documents, reports, and other administrative tasks.
Key Responsibilities:
- Assist in creating sales training documents and company-branded Standard Operating Procedures (SOPs).
- Audit and revise sales documents (contracts, marketing materials, inventory reports) for accuracy, branding, grammar, and compliance with state/municipality regulations.
- Create, revise, and maintain sales tracking documents, ensuring they are accurate and up to date.
- Collaborate with the Director of Sales and Inventory and Community Managers to drive new and used home sales, ensuring a seamless customer experience and maximizing sales potential.
- Support the management of the sales and inventory pipeline, maintaining clear and accurate records of each unit's status.
- Assist Community Managers with general office duties and administrative tasks as needed.
- Perform other duties as assigned to support the success of the Sales/Inventory Department.
Qualifications:
- Proven experience in an administrative role, preferably within sales or a related industry.
- Strong proficiency in Excel, including experience with creating and managing complex spreadsheets and reports.
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.
- Comfortable with travel as required.
- Excellent communication, interpersonal, and problem-solving skills.
- Ability to work independently and collaborate as part of a team.
- Proficiency with other office software tools (Microsoft Office, Rent Manager preferred).
