Description:
The office assistant position serves as a “hybrid” position between administration assistance and care coordination. This position serves to facilitate both the needs of caregivers, when working alongside care coordinators, and the needs of office staff. This position requires a high capacity for navigating interpersonal communication, attention to detail, and an understanding of the larger scope of operations.
Responsibilities:
- First point of contact for maintaining office schedules, coverage, and coordination.
- Thoroughly understand agency regulations and policy and support compliance efforts.
- Maintain required reference documents in a manner that meets state requirements.
- Answer a high volume of phone calls.
- Record new prospects and schedule follow-ups.
- Provide exceptional service to current and future clients
- General office support including faxing, scanning and copying as required.
- Operate within HIPAA compliant regulations
- On-call work with clients and caregivers
- Quality assurance calls with clients.
- General knowledge of all aspects of jobs in office.
- Assist with new employee orientation and hiring
- Ensuring quality of care for clients and communicating with families
- Assist with Care Coordination and maintain an understanding of current care coordination concerns.
- Logging client complaints/requests for training and quality assurance purposes
Requirements
- Experience in front office/administrative assistant position
- Team oriented attitude and view
- Preferred HIPAA compliance experience
- Ability to learn and utilize agency provided technology, including WellSky (or other management system), CareAcademy, Computer Emailing, E-Filing, and document tracking
Hours
The Office Assistant is a full time employee. A typical week will consist of work from 8:30AM-5PM, Monday-Friday. The position will also be “on-call”. The division of hours each week will vary, but may look similar to those listed below:
- 8-10 Hours/week of Phone and Support WOrk
- 20-25 Hours/Week of Administrative Work
- 4-8 Hours/Week of On-Call Work
