What are the responsibilities and job description for the Executive Administrative Assistant position at Genesis?
We are looking for an executive assistant that provides personalized and timely administrative support to assigned executives; works collaboratively with other staff and external contacts to accomplish assigned objectives. Is approachable, well-organized, with excellent time management skills and the ability to act proactively without guidance. Contributes positively to the efficiency and effectiveness of the leadership team.
Key Responsibilities:
- Administrative Support: Manage and organize calendars, schedule appointments, and coordinate meetings.
- Communication Management: Handle correspondence and prioritize communications with a high level of professionalism and confidentiality.
- Meeting and Event Planning: Organize and manage meetings and events, including scheduling, sending reminders, preparing agendas and documents, and arrange for catering when necessary
- Travel Planning and Coordination: Plan and organize domestic and international travel, including flights, accommodations, and itineraries.
- Office and Facilities Management: Oversee and coordinate office organization, filing, supplies, vendor and service management as needed; greet and host visitors
- Records Management and Bookkeeping: Maintain comprehensive and accurate records on behalf of executives; perform minor bookkeeping/accounting duties, including invoice payment, preparation of standard Journal entries, and bank account reconciliations.
- Personal Errands: Perform a variety of personal errands, including shopping, running errands, managing personal projects as needed.
- Confidentiality: Maintain the highest level of confidentiality regarding all business and personal matters.
Qualifications
- 3-5 years of relevant experience as an executive assistant, personal assistant or similar role; proven ability to anticipate and exceed needs with minimal direction
- Exceptional organizational and time management skills
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office suite and ability to learn and adapt to new technology; familiarity with DialPad is a plus
- Willingness to work flexible hours and adapt to emerging priorities and needs
Job Type: Full-time
Pay: $33.66 - $37.50 per hour
Expected hours: 40 per week
