We are looking for a highly organized Office Manager to manage daily office operations, customer interactions, and financial processes, including accounts receivable, accounts payable, and reconciliations. This role is ideal for a detail-oriented professional who thrives in a fast-paced environment.

Office Administration Responsibilities:

  • Oversee daily office operations, ensuring a smooth workflow.
  • Maintain office supplies, equipment, and vendor relationships.
  • Organize and maintain company records, contracts, and compliance documents.
  • Handle phone calls, emails, and other correspondence professionally.
  • Assist with scheduling meetings, travel arrangements, and company events.
  • Provide administrative support to leadership and other departments.

Financial & Accounting Support Responsibilities:

  • Process accounts receivable and accounts payable, ensuring accurate and timely payments.
  • Perform bank reconciliations and assist with financial tracking.
  • Prepare invoices, monitor outstanding balances, and follow up on overdue payments.
  • Maintain accurate financial records and assist with audits as needed.
  • Work closely with accounting to ensure smooth financial operations.

Customer & Employee Support Responsibilities:

  • Communicate professionally with customers and vendors regarding payments, invoicing, and account details.
  • Assist with new employee onboarding and maintain HR records.
  • Support payroll coordination and timesheet tracking.

Qualifications

  • High School Diploma or equivalent (College degree preferred).
  • 3 years of experience in office administration, bookkeeping, or a similar role.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Experience with accounting software preferred. Computerease experience is a plus!
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Ability to work independently and prioritize tasks effectively.
  • Experience in construction, roofing, or service-related industries is a plus.

  • Pay Range: $20 - $30 per hour (based on experience)
