Job Summary

This position is responsible for supporting the recruitment, admissions, data management, and coordination efforts for the College of Arts & Sciences and College of Health Sciences. The role involves direct interaction with prospective students, managing application processes, and collaborating with faculty and staff to enhance program growth and student success.

Responsibilities

Recruitment & Outreach - 30%
The role involves recruiting for graduate programs (GPs) in the College of Arts and Sciences (COAS) and the College of Health Sciences (COHS). Responsibilities include collaborating with both colleges to organize recruitment events, create advertising content, and host webinars and individual sessions for prospective students. The role also includes attending graduate fairs, class presentations, and on-campus events, participating in approximately 6 days per semester and traveling for recruitment events, requiring around 12 days per semester. Nurturing relationships with MOU partner institutions and initiating contact with prospective students are key tasks. Communication with potential applicants, admitted students, and Graduate Assistants (GAs) is handled through various messaging methods. The role also involves determining and purchasing promotional materials for recruitment. Additionally, the position requires attending conferences, including WERC, with some requiring overnight travel. Overall, the role focuses on fostering relationships, managing recruitment logistics, and ensuring effective communication for COAS and COHS graduate programs.

Admissions Processing & Decision-Making - 25%
The role involves reviewing COASGP and COHSGP applications in Slate and managing Graduate Assistant (GA) staff to send acknowledgments to applicants and congratulatory messages to those admitted to COBTGPs. It includes working with the MAcc GFC to evaluate transcripts and determine if foundation courses are needed. The position also recommends or makes admission decisions on completed applications and prepares and processes transient requests for COASGP and COHSGP students in collaboration with GFCs. It involves guiding applicants in identifying eligible transfer credits and facilitating requests for substitutions with COAS and COHS departments. Additionally, the role includes responding to GRE waiver requests, providing guidelines, making decisions on waivers, and overseeing communication and reporting through the departments to Graduate Admissions.

Graduate Data Management - 20%
The role involves managing COASGP and COHSGP applications in Slate and supervising Graduate Assistants (GAs) in tracking inquiries and applications. It includes creating and managing queries in Slate, running reports to identify incomplete applicant follow-up, and analyzing prospect data. The role also involves using PAWS to gather contact information for outreach to applicants. Additionally, the position requires running, analyzing, and combining data from reports and queries, and providing regular updates to the Dean, Associate Dean, Leadership Team, Board Meetings, COAS and COHS Faculty Meetings, and surveys, including key metrics like current vs PIT and yield rates.

Collaboration & Coordination - 20%
The role involves coordinating with GFCs, faculty, and staff to ensure smooth operations for advisement, recruitment, and orientation activities for graduate students, including supervising and mentoring Graduate Assistants (GAs). It includes collaborating with GFCs and GAs on Double Bobcat recruitment and providing preliminary advisement to Double Bobcat and 4 1 students, referring them to faculty for further consultation. The position also involves evaluating transcripts for students interested in GRE requirements for admission and working with WebMBA Faculty Coordinator and Dean¿s Office Coordinator for orientations and faculty workshops. Additionally, the role includes supervising GAs, evaluating their work, and holding weekly meetings with COAS and COHS GAs to build community and assign tasks. Travel is required for WebMBA-related events, approximately 6 nights per year.

Other duties as assigned - 5%
Supply the dean/associate dean with data when requested
Assist in the completion of graduate surveys

Required Qualifications

Educational Requirements
Bachelor's degree is required

Required Experience
Qualified candidates must have a minimum of two or more years of transferable experience recruiting at the undergraduate/graduate level or related academic advising, career counseling, student affairs, or related student-facing engagement.

Preferred Qualifications

Preferred Educational Qualifications
preferred masters in a related field offered by the College of Arts & Sciences or College of Health Sciences.

  • demonstrable ability to work collegiality and effectively;
