Job Summary
Provide promotional, administrative, performance assessment, and financial/accounting services in support of assigned program(s) within a research center, academic unit, or other campus units of a school. These functions may encompass a variety of activities related to program success including coordination of program marketing, program administration, program operations, and program development. This position will interact on a consistent basis with: research, academic and administrative management and staff with a school or center and across campus, vendors and sponsors. Responsibilities
Job Duty 1 - Design/develop promotional and marketing materials to include those developed for specific target audiences in support of program outreach efforts.
Job Duty 2 - Plan, schedule and coordinate promotional events.
Job Duty 3 - Coordinate administrative activities associated with program operations such as procurement, records maintenance, compliance, meeting arrangements and minutes, and document preparation.
Job Duty 4 - Develop, analyze, reconcile and report financial data related to program operations.
Job Duty 5 - Develop and maintain performance assessment tools applied in program review to measure and report progress.
Job Duty 6 - Collaborate with internal and external entities to aid institutional or program support.
Job Duty 7 - Perform other duties as assigned
Responsibilities
The GTDC (Pathways to Policy) Program (https://pathways2policy.gatech.edu/) offered by the Georgia Institute of Technology invites applications for an administrative position in the Washington DC area. Currently, this position is mostly virtual, with occasional in-person activities required (often related to events and event management). Successful applicants should therefore live in the DMV and have access to personal or public transportation in the DC area and be comfortable using it. Professionalism, maturity, and attention to detail are essential.
Job duties will include program administration, events management, student relations, alumni relations, information gathering, and service activities in the Washington DC area. Travel to Atlanta will rarely be required. The positions tasks will likely include, but are not limited to, the following:
Organize Information Sessions (Atlanta) and Orientation Events (Atlanta & DC)
- Venue selection and booking
- Manage food and beverage orders
- Process invitations
- Communicate with, and coordinate, students and guest speakers
- Purchase/acquire necessary equipment and supplies
Coordinate GTDC Admissions
- Assist with student recruitment (coordinate GTDC alum to help with OIE fair on campus)
- Set up and modify, as needed, applications
- Collect and disseminate student applicant information (Qualtrics, CVs, transcripts, letters)
- Facilitate on-campus recruitment effort (fliers, digital signs, etc.)
- Create and distribute surveys and correspondences
Manage GTDC Operations
- Arrange GTDC student site visits (communicate with hosts, collect student names, manage food orders where applicable, help arrange transportation where applicable, finalize event logistics including travel)
- Assist with mentorship program
- Liaise between WISH and students on housing issues
- Coordinate between Higher Education Learning Council (HELC)
- Retrieve and disseminate Atlas reports during admissions and payments process
- Assist in the development and submission of biannual OIE proposals
- Order supplies and materials (e.g. swag)
- Assist with informational surveys for GTDC students
- Act as a PoC with Federal Jacket program
- Act as a PoC with students, faculty, campus, and stakeholder during emergencies
- Assist in budgeting and funds management
- Assist in the processing of receipts
- Administrate WMATA student passes
- Represent GTDC at WPC
Facilitate GTDC-Alumni Relations
- Serve as a PoC between GTDC and DC area alumni, and between GTDC and the relevant alumni relations stakeholders in the DMV (e.g. local alumni groups) and at the Atlanta campus (GT Alumni Relations and the GT Alumni Association).
- Help organize and coordinate GTDC student site visits and events hosted by alumni
- Help organize and coordinate alumni events and activities
- Help coordinate webinars with alumni for career development activities
- Maintain and update the GTDC alumni lists
Other
- Opportunities to teach at the undergraduate level may be available for advanced degree holders in relevant fields
Required Qualifications
Educational Requirements
Bachelor's Degree or an equivalent combination of education and experience
Required Experience
Four to six years of job related experience
Preferred Qualifications
The ability to engage with a diverse body of students, alumni, faculty, staff, and DC area professionals, promote an inclusive and welcoming educational/work environment, and adopt strategies that support the learning and success of all students and alumni. Computer skills required in Word, Excel, email, calendaring, social media, and proprietary software.
Prior experience with the Georgia Institute of Technology
Familiarity with the DMV area is preferred
Prior experience in event management or program administration

SKILLS
This job requires working knowledge of research program promotion and administration. Included are skills in development and administering program assessment tools, marketing, and financial analysis and reporting. Also required are skills in planning, organization, spoken and written communications, scheduling and customer service. Use of office and specialized computer applications and databases are required.
