The Executive Administrative Assistant provides high-level administrative support for the executive team by conducting research, preparing statistical reports, handling information requests, recording and maintaining meeting minutes, and performing clerical functions such as preparing correspondence, greeting visitors, arranging conference calls, scheduling meetings, database entry, travel arrangements and Outlook scheduling. Duties are performed in support of assigned executives and the President/CEO as requested.

Role Summary:
The Executive Administrative Assistant provides high-level administrative support for the executive team by conducting research, preparing statistical reports, handling information requests, recording and maintaining meeting minutes, and performing clerical functions such as preparing correspondence, greeting visitors, arranging conference calls, scheduling meetings, database entry, travel arrangements and Outlook scheduling. Duties are performed in support of assigned executives and the President/CEO as requested.
What You Will Be Doing:
- Support executives and others as assigned by performing clerical tasks relating to various department functions.
- Prepare executive agendas, make travel arrangements, and handle logistics for committee, board and other meetings, and record and maintain minutes as assigned.
- Ensures business licenses are maintained with city and state agencies.
- Complete assigned responsibilities with minimum errors.
- Answer phones, file, perform tasks such as communication and database entry, create and maintain reports, executive expense reports, other documents, presentations and forms, and schedule facility meetings.
- Retrieve and process postal and inter-departmental mail and direct to appropriate recipients.
- Monitor and order supplies, coordinate the distribution of supplies and materials, log and audit items as assigned.
- Maintain a dependable record of attendance and timeliness.
- Communicate with vendors as needed to coordinate assigned activities.
- Must understand and perform regulatory requirements as applicable to job responsibilities. Maintain awareness of policies related to duties and responsibilities.
- Attend credit union and other training sessions, conferences, or seminars as approved by the team leader.
- Maintain and protect all sensitive data utilizing the highest standard of confidentiality and professionalism. Consistently display respect for all areas of diversity and levels of knowledge.
- Maintain cohesive relationship with other departments and co-workers.
- Respond to member and/or team member requests for information as required.
- Maintain work area and perform tasks in a safe and sound manner.
- Display mutual respect, trust and dignity, act in the best interest of the credit union at all times.
- Seek opportunities for achievable process improvements and bring to team leader with recommendations.
- Ability to work independently and carry out tasks with minimal supervision.
- Ability to organize, prioritize and respond simultaneously to multiple tasks and requests.
- Ability to promote and participate in a cohesive team environment and support others.
- Ability to effectively and professionally communicate ideas and information, both orally and in writing.
- Ability to solve problems and locate and correct errors.
- Ability to analyze information and recommend achievable process improvements.
- Ability to professionally interact with members and coworkers at all times.
- Ability to operate standard office equipment and computer programs.
- Minute-taking, transcription, business grammar, and technical editing skills.
- An administrative certification is preferred such as IAAP’s Certified Administrative Professional.
- Certification in the use of Microsoft Office is also recommended.
What You Will Need:
- Five (5) to eight (8) years of similar or related experience. Department specific experience may be desired.
- Some travel is required to attend credit union training or to complete duties.
- Demonstrated tact and professional behavior required.
- Proficient with standard office equipment, databases, Microsoft Office software including Excel, PowerPoint, and Outlook. Experience with department specific programs desired.
- Knowledge and understanding of credit union services and products desired.
