Job Overview

We are seeking a highly skilled and proactive Executive/Personal Assistant to provide comprehensive support to a fast-paced CEO, their organization, and their family office. Key Responsibilities

  • Manage an ever-evolving calendar, coordinating meetings, appointments, and personal engagements.
  • Facilitate seamless travel arrangements, including both domestic and international flights, accommodations, and ground transportation.
  • Supervise daily personal and business-related tasks, encompassing correspondence, errands, and household management.
  • Anticipate requirements and proactively manage logistics to avert potential disruptions.
  • Act as a trusted liaison between the executive and vendors, clients, and business associates.
  • Organize and prepare for meetings and events, ensuring that all materials and logistical details are addressed.
  • Maintain strict confidentiality regarding all personal and professional matters.
  • Proactively identify and resolve potential challenges before they arise.
  • Assist with special projects and ad-hoc tasks as needed.
  • Approach tasks with dedication and efficiency, ranging from high-priority projects to routine responsibilities.
  • Remain highly responsive and available as required, including during evenings and weekends.

Required Skills

  • 5 years of experience in supporting C-level executives or high-profile individuals.
  • Exceptional organizational and multitasking capabilities.
  • Ability to anticipate needs and think critically in real-time.
  • Strong written and verbal communication skills with meticulous attention to detail.
  • Experience in managing complex travel logistics, both domestically and internationally.
  • Proficient in Microsoft Office Suite and various scheduling platforms.
  • Bilingual (Spanish and English) is a plus but not mandatory.
  • Flexibility to work non-traditional hours and travel as needed.
  • High level of discretion, professionalism, and emotional intelligence.
  • Resourcefulness and a proactive problem-solving mindset.

Qualifications

  • Completion of a Level 2 background check and credit check prior to employment.
  • Must sign a Non-Disclosure Agreement (NDA) to ensure confidentiality.
