Job Overview

We are in search of an exceptionally organized and proactive Executive & Personal Assistant to support the CEO in a dynamic and fast-paced environment. This role combines executive administration with personal assistance, ideal for a detail-oriented professional who excels in managing diverse responsibilities with discretion and efficiency.

Key Responsibilities

  • Act as the primary liaison between the CEO and both internal and external stakeholders.
  • Manage the CEO’s calendar, organize meetings, and coordinate travel plans.
  • Streamline information flow to keep the CEO updated on critical matters.
  • Prepare and refine correspondence, business documents, presentations, and reports.
  • Conduct research and gather pertinent data to facilitate informed decision-making.
  • Oversee personal commitments, including travel, appointments, and engagements involving family.
  • Safeguard confidential documents and manage sensitive information with care.
  • Assist with financial administration by processing invoices and monitoring expenses.
  • Coordinate internal communications, announcements, meetings, and events.
  • Take minutes during meetings and follow up on action items and deadlines.
  • Represent the CEO at meetings or events as required.

Required Skills

  • Proven experience as an Executive Assistant, Personal Assistant, or in a similar capacity, ideally supporting senior executives.
  • Exceptional organizational abilities with a strong aptitude for multitasking and prioritization.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite and other scheduling/communication tools.
  • High level of discretion and capability to manage confidential information with integrity.
  • Meticulous attention to detail paired with robust problem-solving skills.
  • Ability to work autonomously while anticipating the CEO’s needs proactively.

Qualifications

  • A Bachelor's degree in Business Administration, Communications, or a related discipline is preferred.
  • Minimum of one year of experience in executive administrative support is required.
  • U.S. Citizenship is mandatory for this position.
