Job Overview

We invite applications for the position of Administrative Assistant I-Recruited - Remote | WFH. This role is ideal for an organized and proactive individual eager to provide essential administrative support in a fast-paced environment. You will engage in diverse clerical and administrative tasks, utilizing office technology and Harvard administrative systems (training on these systems will be provided). Your contributions will include data gathering, report preparation, and information dissemination to faculty, staff, students, and the public.

Key Responsibilities

  • Maintain and update calendars, schedule meetings, and manage appointments.
  • Coordinate room and equipment bookings for meetings.
  • Respond to general inquiries and correspondence, ensuring clear and timely communication.
  • Assist in inventory management and order office supplies as needed.
  • Support the preparation of reports and maintain accurate records.
  • Facilitate the efficient distribution of class recordings to students, collaborating with various departments including the Dean of Students Office (DOS), Registrar's Office, and IT Services.
  • Communicate with students and faculty regarding the recording delivery process, addressing any concerns or questions.
  • Maintain precise records of recording deliveries and removals.
  • Provide support during peak exam periods via the exam hotline.
  • Assist in reviewing and processing class recording requests in accordance with established guidelines.
  • Contribute to report preparation for leadership as required.

Required Skills

  • Strong organizational and prioritization abilities.
  • Exceptional attention to detail and commitment to accuracy.
  • Excellent communication skills, both written and verbal.
  • Ability to manage confidential information with discretion.
  • Proficiency in Microsoft Office, particularly Excel, and familiarity with collaboration tools such as MS Teams and SharePoint.
  • Knowledge of Canvas is preferred but not mandatory.

Qualifications

  • A minimum of 1 year of experience in office administration, customer service, or a related field; additional educational credentials may be considered in lieu of experience.
  • A high school diploma or equivalent is required.
  • Candidates must be based in Massachusetts and available for remote work.
