As our Executive Assistant, you will be instrumental in supporting our executive team with a variety of tasks that are pivotal for the growth of our product design studio. Your organizational acumen will enhance the efficiency of daily operations, enabling our leadership to focus on strategic initiatives. You will ensure that everything behind the scenes operates seamlessly.

Key Responsibilities

  • Calendar & Meeting Management: Organize schedules, arrange meetings, and ensure timely execution of appointments.
  • Email Management: Oversee the inbox, manage responses, and maintain professionalism and clarity in all communications.
  • Outreach & Coordination: Support outreach efforts to potential clients and partners, scheduling follow-ups and ensuring polished communication.
  • Project & Task Management: Utilize project management tools to track progress and meet deadlines efficiently.
  • Client & Vendor Communication: Serve as the primary liaison for clients and vendors, facilitating calls and ensuring effective communication.
  • Research & Sourcing: Conduct research on potential leads or vendors and compile information to aid business decisions.
  • Provide Updates and Training via Videos: Utilize asynchronous communication tools to deliver updates and walkthroughs, ensuring all stakeholders are informed.

Who You Are

  • You possess outstanding writing skills and can articulate ideas clearly via email, phone, Slack, or video.
  • You are exceptionally organized, detail-oriented, and proactive, thriving on completing tasks efficiently.
  • You have a curious mindset and a willingness to learn about new topics.
  • Familiarity with marketing tools (website builders, Google Analytics, and basic visual design tools like Canva) is advantageous.
  • You are adept at managing multiple tasks and projects simultaneously.
  • Previous remote work experience is a must, allowing you to work independently and maintain productivity in a remote setting.
  • You are tech-savvy and able to quickly adapt to new tools; experience with Slack, ClickUp, and Loom is a plus.
  • Previous experience in an assistant role is preferred, but we welcome fast learners as well.
