We are in search of a dynamic and detail-oriented Part-Time Administrative Assistant to join our dedicated team. The successful candidate will possess experience in QuickBooks invoicing, administrative functions, and managing school transportation contracts. This pivotal role is crucial for ensuring operational efficiency and accurate financial oversight within our organization. The position offers the flexibility of full or partial remote work, catering to your work-life balance needs.

Key Responsibilities

  • Execute the creation and distribution of invoices via QuickBooks on a monthly basis or as required.
  • Monitor payments and conduct follow-ups on outstanding invoices.
  • Maintain precise records of all invoicing activities and payments received.
  • Engage with school districts to explore potential contracts and bids.
  • Organize schedules for students and drivers to guarantee appropriate shift coverage.
  • Respond promptly to emails and phone inquiries.
  • Coordinate meetings, appointments, and events efficiently.
  • Prepare and uphold reports, spreadsheets, and essential documentation.
  • Assist in the management of company files and records.
  • Enhance overall office efficiency by providing support to team members.
  • Organize meetings and document minutes in detail.
  • Draft and disseminate emails, memos, and letters as necessary.

Required Skills

  • Proficient in QuickBooks for invoicing.
  • Exceptional organizational and time management abilities.
  • Strong written and verbal communication skills.
  • Familiarity with standard office equipment, including printers and fax machines.
  • Competency in Microsoft Word, Outlook, and PowerPoint.

Qualifications

  • High school diploma or GED is mandatory; an associate’s degree or administrative training is preferred.
  • Prior experience as an Administrative Assistant or in a comparable administrative position is essential.
