Key Responsibilities
- Deliver executive-level administrative support by managing intricate calendars, strategically prioritizing tasks, organizing comprehensive travel arrangements, and processing travel expenses to enhance executive productivity.
- Draft and compile reports, presentations, and correspondence for the senior management team.
- Plan, coordinate, and execute complex meetings, events, and hospitality arrangements for both internal and external stakeholders, utilizing various platforms and settings, including on-site, off-site, and video conferences.
- Provide high-level administrative assistance for strategic projects and cross-functional teams, ensuring effective execution and alignment with organizational objectives.
- Facilitate the onboarding of new vendors for payment processes and purchase orders.
- Collaborate with the administrative team to guarantee seamless backup coverage and uninterrupted support during peak periods or absences.
- Manage the administration of resources and the organization-wide scheduler via Outlook to effectively address conflicts and room assignments as necessary.
- Oversee office logistics, including managing supplies, distributing correspondence for the supported team, and handling incoming communications to ensure efficient daily operations.
- Bachelor's degree or an equivalent combination of education and professional experience.
- 8-10 years of professional experience, with a minimum of 5 years in an executive support role preferred.
- Exceptional written, verbal, and interpersonal communication abilities.
- Proven ability to manage confidential information with appropriate discretion.
- Strong time-management capabilities with the adaptability to multitask while consistently seeking constructive solutions.
- Ability to work autonomously as well as collaboratively in a team setting, managing various tasks from inception to completion with meticulous attention to detail.
- Proactive situational awareness, with the aptitude to anticipate needs and navigate dynamic environments effectively.
- Documented experience in organizing cost-effective travel and meeting arrangements while optimizing schedules and budgets.
- Proficient in spreadsheets, databases, presentation software, and social media platforms.
- Highly skilled in MS Outlook and MS Office, with an eagerness to learn new software and systems.
