We are actively seeking a highly organized and proactive Executive Assistant to collaborate closely with our Chief Marketing Officer (CMO). This position is vital in facilitating the success of our Marketing and Development teams, providing a pivotal support role that drives operational excellence. Key Responsibilities

  • Deliver high-level administrative support to the CMO with a focus on efficiency and professionalism.
  • Efficiently manage calendars, contact lists, and meeting schedules.
  • Organize incoming communications including phone calls and emails while drafting correspondence on behalf of the CMO.
  • Coordinate travel arrangements and accommodations.
  • Prepare and monitor monthly expense reports, ensuring accuracy and compliance.
  • Handle the processing and distribution of various communications and mail.
  • Develop agendas and accurately document meeting minutes.
  • Oversee budget management and approve expenses for the CMO.
  • Edit speeches and create impactful PowerPoint presentations.
  • Represent the CMO in meetings by taking notes and tracking action items.
  • Anticipate the needs of the CMO by preparing necessary materials for meetings.
  • Organize and manage logistics for on-site and off-site meetings.
  • Serve as a liaison for guests, coordinating visits and follow-up communications.
  • Assist with project management tasks using tools like Asana or similar platforms.
  • Collaborate cross-functionally with various departments to enhance teamwork.
  • Maintain an organized and inviting office environment, ensuring conference rooms and executive offices are orderly.
  • Support ministry projects and events in collaboration with other Executive Assistants as necessary.
  • Undertake additional tasks and projects as required.

Required Skills

  • 5 years of relevant experience as an Executive Assistant.
  • Exceptional organizational and time-management abilities, adept at managing multiple priorities.
  • Strong verbal and written communication skills.
  • Detail-oriented with a high degree of professionalism and problem-solving skills.
  • Capacity to work independently while fostering a team-oriented approach.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and general computer applications.
  • Familiarity with project management tools (e.g., Asana) is a plus.
  • A strong commitment to maintaining confidentiality and exercising discretion.

Qualifications

  • Bachelor's degree preferred, or equivalent professional experience.
