Key Responsibilities
- Deliver high-level administrative support to the CMO with a focus on efficiency and professionalism.
- Efficiently manage calendars, contact lists, and meeting schedules.
- Organize incoming communications including phone calls and emails while drafting correspondence on behalf of the CMO.
- Coordinate travel arrangements and accommodations.
- Prepare and monitor monthly expense reports, ensuring accuracy and compliance.
- Handle the processing and distribution of various communications and mail.
- Develop agendas and accurately document meeting minutes.
- Oversee budget management and approve expenses for the CMO.
- Edit speeches and create impactful PowerPoint presentations.
- Represent the CMO in meetings by taking notes and tracking action items.
- Anticipate the needs of the CMO by preparing necessary materials for meetings.
- Organize and manage logistics for on-site and off-site meetings.
- Serve as a liaison for guests, coordinating visits and follow-up communications.
- Assist with project management tasks using tools like Asana or similar platforms.
- Collaborate cross-functionally with various departments to enhance teamwork.
- Maintain an organized and inviting office environment, ensuring conference rooms and executive offices are orderly.
- Support ministry projects and events in collaboration with other Executive Assistants as necessary.
- Undertake additional tasks and projects as required.
- 5 years of relevant experience as an Executive Assistant.
- Exceptional organizational and time-management abilities, adept at managing multiple priorities.
- Strong verbal and written communication skills.
- Detail-oriented with a high degree of professionalism and problem-solving skills.
- Capacity to work independently while fostering a team-oriented approach.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and general computer applications.
- Familiarity with project management tools (e.g., Asana) is a plus.
- A strong commitment to maintaining confidentiality and exercising discretion.
- Bachelor's degree preferred, or equivalent professional experience.
