We are looking for a highly organized and committed Executive Administrative Assistant to join our team in supporting a Government client. This role offers a unique opportunity to engage with diverse business operations, contributing to a range of tactical, strategic, and financial projects, while also improving processes and enhancing efficiency. Your adaptability and capability to handle multiple tasks will play an essential role in your success.

Key Responsibilities

  • Provide comprehensive administrative and program operations support to the government lead and program team to ensure seamless operations and effective communication.
  • Assist with various office operations, including invoicing, records management, and tracking deliverables.
  • Collaborate with government stakeholders to facilitate the execution of key business functions, such as public release requests and contract closeouts.
  • Support the creation of content for presentations and reports aimed at various stakeholders.
  • Contribute to the documentation of projects, including reports, meeting agendas, and presentations.
  • Participate in customer meetings, tracking action items, and determining subsequent steps.
  • Maintain detailed records of meeting discussions, action items, and follow-up tasks.
  • Aid in coordinating administrative functions, including budget management and meeting scheduling.
  • Conduct research and collect necessary information as directed by the Program Management Office.
  • Assist in the implementation of new programs, processes, and systems.
  • Prepare reports and documents to support government clients.
  • Maintain minutes of meetings and oversee scheduling of meetings and conferences.
  • Support operational activities by tracking government-furnished equipment and maintaining property inventory.

Required Skills

  • Strong ability to plan, organize, and manage work efficiently.
  • Proficiency in Excel, Word, and PowerPoint.
  • Excellent analytical skills with a keen attention to detail.
  • Strong written and verbal communication abilities.
  • Capacity to multitask and manage competing priorities effectively.
  • Demonstrated teamwork and interpersonal skills.
  • A minimum of 3 years of relevant experience in roles such as business analyst, consulting analyst, or similar positions.

Qualifications

  • A 4-year BA/BS degree from an accredited institution is required.
  • A degree in a related field is preferred.
  • Experience managing various tasks with changing priorities, including adjusting schedules based on customer needs.
  • Proven experience in direct communication with clients and customers.
  • Experience in analyzing and documenting requirements.
