Key Responsibilities
- Organize and maintain a comprehensive file of Certificates of Insurance for tenants and vendors, ensuring all records are current and accessible.
- Manage and track service contracts for each property, facilitating seamless operations and timely renewals.
- Cultivate and update a list of preferred vendors across various trades, ensuring high-quality service delivery.
- Supervise recurring manual billings for utilities, including water, sewer, and electricity, ensuring accuracy and promptness.
- Coordinate collection efforts for accounts receivable, including preparing and distributing past-due statements to clients.
- Minimum of 3 years of experience in an administrative capacity is required.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite (Docs, Sheets, Slides).
- Exceptional skills in calendar management, allowing for efficient scheduling and prioritization of tasks.
- Strong organizational capabilities with an emphasis on task prioritization and meeting deadlines.
- Excellent verbal and written communication skills for effective interaction with clients and team members.
- Ability to work autonomously while demonstrating a proactive approach to responsibilities.
- Keen attention to detail coupled with robust problem-solving abilities to navigate challenges.
- A minimum of 3 years of relevant administrative experience is essential.
