Key Responsibilities
Your Key Responsibilities Will Encompass The Following
- Coordinating both in-office and remote work as necessary.
- Assisting with comprehensive probate and estate administration from inception to conclusion.
- Supporting trust administration processes from initiation through to completion.
- Preparing probate documents with minimal oversight from the attorney.
- Maintaining a comprehensive calendar of court pleadings and pertinent deadlines.
- Interfacing with clients, financial institutions, and beneficiaries to gather essential information.
- Responding promptly to client inquiries via email or phone.
- Drafting necessary documentation for the transfer of securities.
- Filing claims for insurance proceeds and death benefits.
- Preparing accounts related to estate administration or trust accounting.
- Liaising with the Probate Court as necessary.
- Managing incoming communications from clients and the Probate Court regarding cases.
- Ensuring meticulous timekeeping.
- Overseeing all facets of estate administration, including asset identification, collection, and distribution to beneficiaries.
- Preparing Receipt and Release Agreements.
- Acting as a point of contact between attorneys, clients, accountants, brokers, financial planners, and appraisers.
- Calculating filing fees and fiduciary commissions.
- Obtaining asset valuations and assisting with asset division and trust funding.
- Balancing financial accounts, including checkbooks and brokerage accounts.
- Assisting clients in locating suitable appraisers for real estate or personal property.
- Communicating with necessary entities to close remaining accounts and credit cards.
- Attending team meetings prepared to discuss the status of open files.
- Tracking client-advanced expenses for reimbursement.
- Drafting correspondence to creditors in cases of estate insolvency.
- Following up with creditors to resolve debts or confirm balances have been settled.
- Scanning and organizing all estate/trust administration documents in electronic format.
- Preparing necessary mailings related to estate/trust administration.
- Executing additional duties as assigned.
- College Degree and/or Paralegal Certificate.
- 2-5 years of experience in New Hampshire and Maine probate and trust administration.
- A background in banking or finance is advantageous.
- Notary Public certification is a plus.
- Professional appearance and superior communication skills.
- Self-starter who excels in a fast-paced environment.
