Key Responsibilities
- Balancing in-office and remote work as necessary.
- Assisting with all dimensions of probate and estate administration from initiation to completion.
- Supporting trust administration processes from start to finish.
- Drafting probate documents with minimal oversight from attorneys.
- Maintaining a calendar of court filings and key deadlines.
- Engaging with clients, financial institutions, and beneficiaries to collect essential information.
- Addressing client inquiries via email or phone promptly.
- Preparing necessary documentation for the transfer of securities.
- Filing claims for insurance benefits and death proceeds.
- Compiling accounts for estate administration or trust accounting.
- Corresponding with the Probate Court as needed.
- Managing all facets of estate administration, including asset identification and collection, maintaining estate bank accounts, monitoring expenditures, and distributing assets to beneficiaries.
- Drafting Receipt and Release Agreements.
- Acting as a liaison among attorneys, clients, accountants, brokers, financial planners, and appraisers.
- Calculating filing fees and fiduciary commissions.
- Obtaining asset valuations and aiding in the division of assets and funding of trusts/bequests.
- Balancing financial accounts and brokerage statements.
- Assisting clients in identifying qualified appraisers for real estate or personal property.
- Contacting relevant companies to finalize outstanding accounts and credit cards.
- Arriving at team meetings prepared to discuss the status of ongoing files.
- Monitoring client-advanced expenses for reimbursement.
- Drafting letters to creditors in cases of estate insolvency.
- Following up with creditors to resolve debts or confirm that balances have been written off.
- Organizing and digitizing all estate/trust administration documents.
- Preparing mailings as required for the estate/trust administration process.
- Performing additional duties as assigned.
- College Degree and/or Paralegal Certificate.
- 2-5 years of experience in New Hampshire and Maine probate and trust administration.
- A background in banking or finance, especially with banking documents, retirement accounts, and investment documents, is beneficial.
- Notary Public certification is a plus.
- Proficient in Office 365, especially Excel, and familiarity with practice management software is preferred.
- Strong ability to collaborate within a team.
- Exceptional time management skills with keen attention to detail and the capability to meet deadlines.
