Job Overview

We are seeking a highly competent Executive Assistant to provide extensive support to a senior executive, expertly managing a combination of corporate and personal responsibilities. This position is suited for individuals who possess outstanding organizational acumen, a strong sense of professionalism, and the ability to handle confidential information with discretion. As an Executive Assistant, you will serve as a pivotal gatekeeper, project facilitator, and personal aide, ensuring the seamless execution of the executive’s commitments.

Key Responsibilities

  • Collaborate in the management of the executive’s corporate calendar, prioritizing and scheduling meetings, conferences, and travel arrangements.
  • Prepare, draft, and supervise all forms of correspondence, acting as a liaison between the executive and various stakeholders.
  • Organize and assemble materials for executive meetings, documenting discussions, and monitoring follow-up actions.
  • Oversee all logistics pertaining to corporate travel, including reservations and itineraries for both domestic and international trips.
  • Assist in the coordination of corporate projects, tracking timelines, allocating resources, and communicating relevant updates.
  • Maintain an organized system for corporate documentation, ensuring that critical files are accessible and current.
  • Conduct research on corporate initiatives and market trends, providing succinct summaries to the executive.
  • Manage corporate expense tracking and reimbursement processes, preparing comprehensive reports as needed.
  • Administer the executive’s personal calendar, scheduling appointments and personal commitments efficiently.
  • Support personal errands, event planning, and management of household tasks as necessary.
  • Assist in organizing personal events or family gatherings, which includes managing invitations and other logistical needs.
  • Facilitate administrative tasks for family members, including travel arrangements and appointments.
  • Maintain personal financial records and ensure organization of confidential documents.
  • Handle communication regarding personal matters for the executive, liaising with family and personal contacts as required.

Required Skills

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Exceptional multitasking and organizational skills, with keen attention to detail.
  • Strong communication and interpersonal abilities to collaborate effectively across all organizational levels.
  • High degree of discretion and trustworthiness in managing sensitive corporate and personal information.

Qualifications

  • A Bachelor's degree in Business Administration, Management, or a related field is preferred.
  • A minimum of 5 years' experience in an administrative role, supporting senior executives.
