Job Overview

We are seeking a dedicated and detail-oriented Part-Time Administrative Assistant with expertise in QuickBooks. This position offers the convenience of remote work, either partially or fully, and allows you to play a vital role in ensuring our operational efficiency, specifically in invoicing and contract administration for school bus transportation and specialized student services. This role is ideal for individuals who appreciate a diverse range of responsibilities and take pride in delivering accurate and efficient work.

Key Responsibilities

  • Prepare and issue invoices through QuickBooks on a monthly basis or as required.
  • Monitor payments, follow up on past-due accounts, and uphold meticulous invoicing records.
  • Engage with school districts concerning potential contracts and bids, facilitating contract negotiation processes and related documentation.
  • Oversee student and driver schedules to guarantee adequate coverage for transportation needs.

Administrative Support

  • Organize and manage daily email and phone communications.
  • Schedule and coordinate meetings and appointments, ensuring the team remains on track.
  • Prepare and maintain spreadsheets, reports, and various documents to support seamless operations.
  • Keep company files organized and assist in updating records as needed.
  • Provide additional administrative support to enhance overall team productivity.

General Team Support

  • Serve as a collaborative team player, ready to assist colleagues and contribute to operational streamlining.
  • Propose ideas to enhance efficiency and foster an organized work environment.

Required Skills

  • Proficiency in QuickBooks and familiarity with standard office equipment (e.g., printers, fax machines).
  • Strong computer skills, particularly in Microsoft Word, Outlook, and PowerPoint.
  • Exceptional organizational abilities, strong time management, and effective task prioritization.

Qualifications

  • High school diploma or GED is required; an associate's degree or administrative training is preferred.
  • Previous experience as an Administrative Assistant or in a similar capacity is advantageous.
