We’re looking for a dedicated Administrative Assistant (Billing and Office Support) who can help keep our financial operations smooth, accurate, and on point—while being a positive addition to our team.

What You’ll Do (And Why It Matters): Keep Things Moving with Billing & Payment Support

  • Turn estimates into invoices quickly and accurately.
  • Process rental payments on the same day as delivery.
  • Keep records up to date across QuickBooks, our Inventory System, and our CRM.

Why it matters: Timely billing keeps our customers happy and our business running strong. You’ll be the person making sure nothing slips through the cracks.

Be a Proactive Problem-Solver in Collections & Accounts

  • Monitor payments and take action on any issues immediately.
  • Follow a proven collections process that’s fair, firm, and efficient.
  • Handle daily bank deposits and ensure every dollar is accounted for.

Why it matters: You’ll help maintain the financial health of our business—so we can keep delivering great service.

Keep Us Organized with Payables, Payroll & Reporting

  • Process vendor payments and submit payroll on time.
  • Stay ahead of license renewals, permits, and compliance reports.
  • Keep our financial scorecards updated and accurate.

Why it matters: Accuracy keeps everything running smoothly, from our team’s paychecks to staying compliant with regulations.

Stay on Top of Inventory & System Updates

  • Track container movements in real time using Sortly & QBO.
  • Keep our calendars and inventory lists accurate and up to date.
  • Manage purchase requests and schedule incoming inventory shipments.

Why it matters: Accurate inventory means better service for our customers—and less stress for our team.

Be a Team Player & Process Improver

  • Join our daily huddles.
  • Share ideas for improving our systems and processes.
  • Help out with inbox management, quoting, or customer calls when needed.

Why it matters: You’ll help foster a team culture that’s collaborative, efficient, and always looking for ways to get better.

Is This You? (We Hope So!) You’ll be a great fit if you:

  • Have 2 years of experience in admin, customer service, or bookkeeping roles.
  • Are comfortable using QuickBooks Online (QBO)—or excited to learn it fast.
  • Have strong organizational skills and can work well with Google tools (Calendar, Meet, Gmail).
  • Speak Spanish (a bonus, but not required).
  • Are proactive, detail-oriented, and a natural problem-solver. As a simple test of attention to detail, please mention the word "Padlock" somewhere on your application or initial correspondence with us.
  • Don’t mind pitching in to help with the occasional yard maintenance or box prep—teamwork makes the dream work.
