Job Description
The Billing Manager oversees the daily operations of the billing department, ensuring accurate, efficient, and compliant billing processes. This role manages staff, monitors performance metrics, resolves billing discrepancies, and ensures timely reimbursements. The Billing Manager plays a vital role in optimizing revenue flow, minimizing errors, and maintaining regulatory compliance.
Duties & Responsibilities:
Billing Operations
· Oversee and manage the entire billing process, including charge entry, claims submission, payment posting, and denial management.
· Ensure accuracy and timeliness in billing to maximize revenue and minimize rejections.
· Develop, implement, and monitor policies and procedures to ensure compliance with federal, state, and payer regulations.
· Audit billing processes to identify errors and implement corrective actions.
Leadership & Supervision
· Supervise and lead billing staff, providing training, performance evaluations, and ongoing feedback.
· Assign tasks, monitor workloads, and ensure the department meets productivity and accuracy goals.
· Foster a collaborative and efficient work environment, promoting professional growth and development.
Compliance & Reporting
· Ensure billing activities comply with HIPAA, CMS, and payer-specific regulations.
· Conduct regular audits to ensure accurate coding, billing, and documentation.
· Generate and analyze reports related to billing performance, claim rejections, and outstanding balances.
· Collaborate with the compliance department to address any identified issues.
Denial Management & Appeals
· Oversee and manage denial and appeal processes to ensure appropriate follow-up and resolution.
· Identify trends in denials and work proactively with providers and coders to prevent future occurrences.
· Collaborate with insurance carriers to resolve reimbursement discrepancies.
Financial Oversight
· Monitor accounts receivable and develop strategies to reduce outstanding balances.
· Work closely with the finance team to reconcile billing reports and ensure accurate revenue recognition.
· Provide insights and recommendations to senior management regarding billing and revenue cycle performance.
Communication & Coordination
· Serve as the primary point of contact for billing-related inquiries from patients, providers, and insurance companies.
· Collaborate with clinical and administrative teams to streamline billing processes and enhance patient satisfaction.
· Address patient billing concerns with professionalism and efficiency.
Other duties as assigned.
Required Skills & Abilities:
· Detail-Oriented – Strong attention to accuracy in billing and documentation.
· Leadership – Ability to lead and motivate a team to meet goals and deadlines.
· Analytical Skills – Proficient in analyzing billing reports and identifying trends.
· Communication – Excellent verbal and written communication skills for interacting with staff, providers, and patients.
· Problem-Solving – Ability to troubleshoot billing issues and implement solutions efficiently.
· Technical Proficiency – Experience with medical billing software (e.g., NextGen, Kareo) and Microsoft Office Suite.
Education & Experience:
· Bachelor’s degree in healthcare administration, business, or a related field preferred.
· Minimum of 5 years of experience in medical billing and revenue cycle management.
· At least 2 years of supervisory or management experience in a healthcare setting.
· Strong knowledge of CPT, ICD-10, and HCPCS coding.
· Certification in medical billing or coding (e.g., CPC, CPB) is a plus.
Work Environment
· Office setting within a healthcare organization.
· Fast-paced environment with frequent interaction with staff and external stakeholders.
· Occasional travel between clinic sites or administrative offices may be required.
Physical Requirements:
· Prolonged periods sitting at a desk and working on a computer.
· Occasional lifting of office supplies and materials (up to 15 pounds).
· Ability to manage stress in a high-pressure, deadline-driven environment.
