Position Summary:
The Program & Volunteer Coordinator is a key member of the Gilda's Club Minnesota team, responsible for overseeing the organization’s volunteer program and supporting program operations. This role involves recruiting, training, and managing volunteers, ensuring a positive and engaging experience for individuals and groups. The coordinator collaborates with the program team to plan and execute classes, workshops, and events, focusing on the Healthy Lifestyle and Social pillars of the program. The Program & Volunteer Coordinator is expected to work one evening per week to support program activities and ensure availability for members and volunteers during evening events
Acting as the primary contact for new members and volunteers, the Program & Volunteer Coordinator facilitates onboarding processes, manages program communications, and ensures seamless integration into Gilda’s Club. This role requires excellent organizational and interpersonal skills to handle multiple projects, foster meaningful connections, and support individuals impacted by cancer. The ideal candidate is empathetic, detail-oriented, and passionate about creating a welcoming environment while advancing the mission of Gilda’s Club Minnesota.
Primary Responsibilities:
Volunteer Duties:
· Oversee the volunteer program, focusing on coordinating clubhouse, program, and group volunteers.
· Serve as the primary contact for volunteer requests from Gilda's Club Minnesota (GCMN) staff and promote individual and group volunteer opportunities externally.
· Conduct volunteer orientations and training sessions.
· Develop and manage volunteer policies, procedures, service standards, and tracking of volunteer hours.
· Evaluate volunteer performance in collaboration with staff supervisors, providing feedback and retraining as needed.
· Organize and participate in volunteer recognition programs and special events.
· Maintain accurate records and generate timely statistical and activity reports on the volunteer program using the KPI dashboard.
· Act as GCMN’s liaison to external volunteer organizations.
· Manage volunteer communication schedules and provide content for the volunteer newsletter.
Program Administrative Duties:
· Collaborate with the program team to plan and execute program classes, workshops, and events, with a focus on the Healthy Lifestyle and Social pillars of the program.
· Support the facilitation of the "Meeting of the Minds" program.
· Serve as the primary contact for new members ensuring a smooth integration into Gilda's Club Minnesota (GCMN).
· Manage the timely entry of new member paperwork and enable appropriate automated communications (e.g., Zoom, MindBody, Virtuous).
· Assist members in accessing technology resources for virtual programs and train them on registration and check-in procedures for in-person programs.
· Act as the initial point of contact for member inquiries, directing questions to the appropriate staff member for resolution.
· Work alongside Communications to ensure timely dissemination of program information to members.
· Provide general office administrative support, including answering phones, handling correspondence, and greeting guests at the clubhouse.
· Perform other duties as assigned.

· Flexibility: Ability to work one evening per week and occasionally adjust hours to accommodate program activities, events, or volunteer needs. Availability to work weekends and travel within the metro area as needed.
Preferred Qualifications: Bachelor’s degree and skills are a valuable asset, experience with volunteer management
Other Requirements:
Must be able to successfully complete a criminal background check as well as any other suggested testing relevant to this position. Must be able to lift and/or move items of 20lbs or less frequently, and occasionally stoop, kneel, or crouch. Access to personal transportation on a regular basis for business travel, valid driver’s license, and proof of insurance required.
