Job Purpose: The Volunteer Support Specialist is responsible for directly engaging, supporting, and retaining adult volunteers and girl members in an assigned geographic area by providing mentoring, developing and delivering resources, and establishing and maintaining partnerships. Additionally, they train, support, and manage relationships with community program partners.
Essential Functions
- Increases a positive impact of Girl Scouts in the community by meeting or exceeding annual membership retention goals for girl and adult members.
- Collaborates closely with departmental management and other departments to inform membership and partner development strategies, plans, and tactics.
- Provides ongoing effective support, communication, supervision, and direction managing council relationships and engagement with service units, community program partners, and troops, as well as between members and volunteers. Monitors service unit, community program(s), and troop health and proactively addressing barriers to success.
- Prepares for conversations and visits with members and volunteers by gathering key information and setting strong objectives to achieve successful outcomes. Able to share the Girl Scout value proposition through a variety of communication venues.
- Establishes the appropriate volunteer support teams to meet council goals by ensuring volunteer positions are filled by recruiting, selecting, appointing, and supervising key volunteers in assigned geographic areas.
- Serves as liaison between council and volunteers to support renewal strategies, attend volunteer service unit meetings, provide troop leader support, handle troop disbandment process, and promote council information.
- Implements year-around volunteer appreciation efforts and participates in volunteer appreciation month strategies and tactics.
- Collaborates with other departments to nurture and support new program delivery partners, financial sponsorships and grants, and volunteers.
- Compiles data from evaluations with measurable outcomes from volunteers and/or community program partner delivery groups.
- Collaborates with other departments and key volunteers to ensure a positive onboarding experience for volunteers, community partners, and new troops.
- Ensures movement of contacts and placements using best practices from GSUSA, GSCTX, and multiple communication methods (phone, texting, email, etc.).
- Mediates volunteer and adult conflict that is escalated to council in their assigned geographic area.
- Attendance and participation to annual Volunteer Enrichment Conference.
- Responds appropriately and professionally through email, phone, and face-to-fact interactions.
- Enhances Girl Scouts reputation through interactions with the public.
- Manages, organizes, and maintains files, logs, operating procedures, and records that relate directly to this position. Actively updating database records and maintaining the database consistency and integrity and using council reporting tools to analyze and act on recruitment and lead data.
- Maintains strict confidentiality and professionalism when handling sensitive information.
- Performs other duties or assists other projects as assigned.
Required Qualifications
- One to three years’ experience managing and/or working with volunteers.
- Effective oral and written communication skills.
- Ability to confidently speak in front of large and small audiences.
- Proven record of customer responsiveness and active listening skills.
- Attention to detail.
- Demonstrated ability to work with minimal supervision and take initiative in making decisions.
- Work on-site and remotely during the normal operating hours of our organization. Ability to travel within our jurisdiction.
- Must have and maintain a valid TX driver’s license, a safe driving record, current vehicle insurance, and reliable transportation to travel within Girl Scouts of Central Texas region.
- Effectively interact, work, and collaborate with people of various cultural backgrounds and promote an environment of inclusivity.
- High-level proficiency in Microsoft Excel, Word, and Outlook or similar productivity software.
- Ability to commit to Girl Scouts philosophy, both nationally and locally.
- Annual membership in GSUSA.
- Satisfactory results from a criminal background check.
Education
- Bachelor's degree in a related field or equivalent of one to three years of related work experience.
Preferred Qualifications
- Bilingual in English/Spanish.
- Experience with customer relationship management tools and databases.
Physical Requirements
- While performing the duties of this position, the employee is regularly required to talk or hear. The employee frequently is required to use hands or fingers, handle, or feel objects, tools or controls. The employee is occasionally required to stand; walk; sit; reach with hands and arms; climb or balance; and stoop, kneel, crouch, or crawl.
- Capable of lifting up to 30lbs.
- Capable of viewing computer monitor for long periods.
Environmental Demands
- Continuous indoor activity and exposure to florescent light.
- Outdoor activities and exposure to weather.
- Work some nights and weekends, as needed.
- Frequent work under stress and under pressure of deadlines.
