Position Summary

The Executive Assistant (EA) provides administrative support and coordination to the Chief Financial & Administrative Officer (with responsibilities for the areas of Finance, Human Resources, IT, Risk Management, and Properties) and the Chief Mission Delivery Officer (with responsibilities for the areas of Membership & Data, Girl & Volunteer Experience, and Retail & Product Programs). In addition, the EA directly supports the work of the Finance and Audit Committees of the Board and provides support as needed to the departments of the Chiefs.

Essential Duties & Responsibilities

  • Managing the Divisions of the CFAO and CMDO (the Chiefs) in a manner that relieves the Chiefs of non-executive tasks. Primary responsibilities include heavy and complicated calendar management, coordinating executive logistics such as meetings, phone calls, appointments, travel arrangements, and organization-wide scheduling as required by the Chiefs.
  • Preparing and editing professional correspondence for the Chiefs, including memos, emails, letters, and reports with accurate grammar, spelling, and punctuation.
  • Providing support for Board Committees (Finance, Audit, etc.) including scheduling, communications, meeting planning (meeting notices, agendas, meeting materials, reports,

meeting set-up), documentation and record-keeping, including reports, meeting minutes, and

other materials to Committee members and the Board, as needed.

  • Understanding the major accountabilities by functional area within the Divisions of the Chiefs and working collaboratively with the teams to support, enhance and promote the teams'
  • objectives and initiatives; providing back-up support and assistance with special projects as needed.

  • Providing courteous, consistent, and knowledgeable customer service both internally and externally.
  • Always maintaining confidentiality. Ensuring all communications to and from the Chiefs from both internal and external audiences are handled appropriately and with a sense of urgency and sensitivity.
  • Required skills

  • Minimum five years of experience supporting executives with demonstrated ability to maintain confidential documents, correspondence, and discussions.
  • Exceptional interpersonal skills including excellent written and oral communication skills, with the ability to communicate clearly to a variety of audiences.
  • Demonstrated ability to interact with organizational constituents and provide prompt and courteous customer service to all customers in person, via phone, written note, and email.
  • Possesses strong organizational and analytical skills, and an intuitive and proactive approach to support.
  • Ability to achieve a high level of accuracy with extreme attention to detail, especially with data and financial information.
  • Ability to meet deadlines and possess excellent follow-through skills.
  • Ability to take initiative, work independently, be self-directed and self-motived, and prioritize appropriately.
  • Advanced skills in Outlook and Office365 (Word, Excel, PowerPoint, SharePoint)
  • with the ability to learn other technology as needed. Familiarity with Salesforce and

    SAP Concur a plus.

  • Ability to work a flexible work schedule with some evening, early morning and weekend work required.
  • Bachelor's degree or significant equivalent career experience.
  • Recommended Education, Training and Experience

  • Experience in non-profit organizations preferred.
  • Hands-on experience with finance and accounting; some experience with HR, IT and Risk
  • Management helpful.

  • Experience supporting Boards of Director and / or Board Committees.
  • GSGLA Employee Requirements

  • Comply with state-mandated reporter training
  • Attend GSGLA signature events and / or other activities as assigned

    Physical Requirements

  • The incumbent is in a non-confined office-type setting in which he or she is free to move about at will. The environment for this position is mostly clean and comfortable but may include some minor annoyances such as noise, odors, drafts, etc. while performing this work, the incumbent :
  • o Will spend time sitting, utilizing the computer.

    o Will spend time standing / walking throughout the facilities.

    o Must travel via personal vehicle or public transport to various facilities throughout the region.

    o May lift to 15 lbs. periodically. If more, the incumbent must request assistance.

  • The incumbent must be able to perform this job safely, without endangering health or safety
  • of him / herself or others.
