JOB SUMMARY

The Resource Development Specialist is responsible for supporting Girl Scouts Western Oklahoma's fundraising efforts by managing special events and donor stewardship operations. This role acts as the administrator for key fundraising events, including the Juliette Low Leadership Society Luncheon (JLLS) and Cookies & Cocktails, while coordinating volunteer event committees and engaging community leaders. Additionally, the Specialist oversees gift processing, donor acknowledgment, and database management, ensuring accurate records and exceptional donor stewardship. Reporting to the Resource Development Director, this position plays a key role in strengthening community support and sustaining vital programs that empower the next generation of women leaders.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Special Events Management: Acts as the administrator of the Juliette Low Leadership Society Luncheon (JLLS) and Cookies & Cocktails, overseeing logistics, volunteer committees, timelines, and event goals to support council fundraising efforts.
  • Donor & Database Management: Manages gift processing, donor acknowledgment, and donor database records to ensure accurate donor tracking and stewardship.
  • Fundraising Support: Assists with fundraising activities, including campaigns, donor relations, presentations, and special projects.
  • Volunteer Coordination: Works collaboratively with volunteers, providing leadership and oversight as needed.
  • Reporting & Compliance: Generates donor reports, fundraising summaries, and stewardship updates for the development team and leadership.
  • Customer Service: Provides professional, high-quality support to donors, members, volunteers, staff, and community partners.
  • Standard Procedures & Best Practices: Maintains written standard operating procedures and ensures compliance with organizational policies.

· Assists with the ongoing maintenance and enhancement of development recordkeeping system, both computerized donor database software and hard copy files, to ensure effective cultivation, solicitation, and donor recognition.

· Serves as the liaison with the Finance Department to ensure accuracy of gift/donation records and coding.

· Provides timely and accurate reports to the development team to ensure effective cultivation, solicitation, and donor recognition.

· Provides staff training and support in database software to ensure processes and policies are maintained.

· Assists in coordination and preparation of monthly reports, board reports, committee reports, newsletters, and updated mailing lists.

· Provides support as needed to fundraising activities including campaigns, special events, meetings, portfolio management, presentations, special projects, etc.

· Provides professional and high-quality customer service to donors, members, volunteers, staff, and other community contacts.

· Works collaboratively with volunteer staff and oversees the work of volunteer staff as needed.

· Responsible for developing and maintaining written standard operating procedures (cookbooks) for assigned position and duties.

· Provides direct support to Chief Resource Officer

· Assists Data and Analytics manager with data collection and other duties as assigned

· Produces donation recognition letters and other reports as requested

· Responsible for developing and maintaining relationships with Girl Scouts alumni and lifetime members to grow giving

· Implements donor stewardship process, providing information to team members to properly steward donors

· Reports to Data and Analytics Manager

· Performs other duties as assigned.

SUPERVISORY DUTIES

· Volunteer staff as needed

EDUCATION AND/OR EXPERIENCE

· Bachelor’s Degree or equivalent experience plus minimum of 2 years in resource development role preferred.

· Experience in event management a plus

· Experience working with volunteers a plus

· Bilingual a plus

· 3 years of previous office experience as an Administrative Assistant including data entry and database management experience required.

ADDITIONAL JOB REQUIREMENTS

· Clearance of background check and drug screen.

· Must carry 100/300/100 liability insurance

· Knowledge of Sales Force and Donor Perfect or compatible donor management software preferred.

· Detail Oriented.

· Able to work in a fast-paced environment.

§ Computer literate with word processing and excel skills (i.e. Microsoft Office systems); ability to navigate and use Salesforce and Donor Perfect databases or similar software.

SELECTIVE ABILITIES & PHYSICAL DEMANDS:The incumbent must be able to perform the following qualifications in order to be offered and/or maintain employment in this position.

· Level 2 – Light Work (use of light force to lift, carry, push, pull or move objects), Limited exposure to adverse environment conditions, work occasional weekends and evenings/nights.

· This position requires the ability remain stationary and to use computer monitor, keyboard and mouse for extended periods of time.

· Must be able to speak and communicate clearly, such as in public speaking engagements.

WORK ENVIRONMENT

The employee will work in an office environment and in close quarters with other staff and clients. The noise level in the work environment varies from moderate to loud; hectic situations can occur characteristic to working with infants, toddlers and parents in need. Exposure to bright lights, noise, odors and scents are common due to the open office environment.

Job Type: Full-time

Pay: $20.00 - $25.00 per hour
