About The Role
Job Title: Development Events Coordinator
Reports To: Director of Development Events
FTE: Full Time, Exempt
Salary Range: $55,000-60,000
Position Purpose
The Development Events Coordinator is responsible for supporting the planning, coordination, and execution of Giving Kitchen’s signature and headquarter events. This role involves working closely with the Director of Development Events to ensure smooth and successful events, including Team Hidi (annual tasting event), a new seated dinner event, events sold as live auction items, and several smaller GK donor and cultivation events. The coordinator will manage logistics, communications, and administrative tasks to support event goals, engage attendees, and contribute to the overall success of the organization’s mission.
This is a great job for someone early in their development career as they will learn and support all aspects of nonprofit event fundraising. The Development Events Coordinator reports to the Director of Development Events and works with and supports other Development team members.
This position works from the Atlanta headquarters with opportunity for a hybrid work model.

What You'll Do
Assist Giving Kitchen’s Director of Development Events in organizing and executing headquartered GK events that build and enhance relationships in support of Giving Kitchen.
Event Planning & Logistics
Key Responsibilities (Team Hidi and other GK HQ events):
- Assist with and support event timelines, planning and execution.
- Draft and send out event communications to various event partners (F&B partners, committee members, host venue staff, volunteers, GK staff, etc.).
- Assist with maintaining records of event permits, F&B partner information and event needs.
- Solicit and review RFPs as needed.
- Schedule site visits and meetings as needed.
- Assist with identifying event supply needs, sourcing and ordering. Assist with maintaining inventory of existing supplies in event cage (linens, disposables, beverages, etc.)
- Manage event ticketing and auction site (GiveSmart) including set up, maintaining event databases, track RSVPs, and assist with donor and guest communications.
- Work with Marketing/Communications to prepare event materials such as programs, signage, and marketing collateral.
- Track event expenses and assist with vendor invoicing and payments.
- Coordinate and manage event volunteers from recruitment, method for job sign up, training and on-site contact for volunteer captains.
- Support event silent and live auction procurement, auction software, and post event item delivery.
- Work closely with team members, volunteers, and other departments to ensure successful event execution.
- Provide on-site support during events, including volunteer management, and helping to ensure all logistics run smoothly. Troubleshoot any issues that may arise during events, addressing problems quickly and effectively.
- Support the setup and teardown of events, including equipment, décor, and attendee services.
- Assist in the evaluation of events by collecting feedback and data on attendee satisfaction.
- Help with post-event communications, including thank-you notes, surveys, and reporting on event outcomes.
- Managing post-event logistics such as equipment return and vendor payments.
- Compile reports and metrics related to event attendance, donations, and overall success.
- Support ongoing fulfillment/redemption of auctions items and experiences.
- Ensure that all fundraising materials are in accordance with Giving Kitchen policy and are aligned with proven practices.
- Assist with check processing and weekly deposits.
- Provide administrative support to the Development Team, including Senior Director of Development, with various administrative tasks that support the ongoing work of the department.
Qualifications
Qualifications and key Skills:
- 1-3 years’ experience in nonprofit special event fundraising preferred.
- Knowledge of fundraising and donor engagement strategies.
- Ability to communicate effectively in writing, on the phone, and in person.
- Excellent computer skills. Exhibit strong grammar/proof reading skills and proficiency in using Microsoft Office programs.
- Proficiency in working with donor/constituent (Salesforce) database systems preferred. Experience with Classy and/or GiveSmart, a plus.
- Possess strong organizational and time management skills. Ability to rally others to a common goal.
- Personable, yet professional. Commitment to accuracy, excellent attention to detail, highly efficient and conscientious about thorough follow-up.
- High degree of initiative, self-motivation, and resourcefulness.
- Ability to work under and remain calm in the face of continuous and multiple deadlines and evolving priorities. Ability to manage multiple projects simultaneously.
