Vendor Relations Specialist Key Responsibilities:


  1. Vendor Management:
    • Identify, evaluate, and select vendors based on service, quality, and price.
    • Negotiate contracts and agreements to secure the best terms for the company.
    • Develop and maintain positive relationships with vendors to ensure a high level of service.
    • Monitor vendor performance and conduct regular reviews to ensure compliance with contractual terms and company standards.
    • Address and resolve any vendor-related issues or disputes promptly.
  2. Contract Management:
    • Draft, review, and manage contracts with vendors.
    • Ensure all contracts are up-to-date, legally compliant, and stored appropriately.
    • Work with the legal team to address any contractual issues or amendments.
  3. Procurement:
    • Coordinate the procurement process, including requisitions, purchase orders, and approvals.
    • Track and manage inventory levels to ensure timely replenishment of supplies.
    • Analyze purchasing trends and develop strategies to optimize procurement processes and reduce costs.
  4. Collaboration:
    • Work closely with property managers and maintenance teams to understand their needs and ensure vendor services meet those needs.
    • Coordinate with the finance department to ensure timely payment of vendor invoices.
    • Communicate effectively with internal and external stakeholders to ensure alignment and transparency.
  5. Reporting:
    • Maintain accurate records of vendor transactions, contracts, and performance metrics.
    • Prepare and present reports on vendor performance, cost analysis, and procurement activities.
    • Provide recommendations for improving vendor relations and procurement processes.


Qualifications:

  • Bachelor's degree in Business Administration, Supply Chain Management, or related field.
  • 3-5 years of experience in vendor management, procurement, or a similar role, preferably in the property management industry.
  • Strong negotiation and contract management skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite and vendor management software.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Strong analytical and problem-solving abilities.
