Vendor Relations Specialist Key Responsibilities
- Vendor Management:
- Identify, evaluate, and select vendors based on service, quality, and price.
- Negotiate contracts and agreements to secure the best terms for the company.
- Develop and maintain positive relationships with vendors to ensure a high level of service.
- Monitor vendor performance and conduct regular reviews to ensure compliance with contractual terms and company standards.
- Address and resolve any vendor-related issues or disputes promptly.
- Contract Management:
- Draft, review, and manage contracts with vendors.
- Ensure all contracts are up-to-date, legally compliant, and stored appropriately.
- Work with the legal team to address any contractual issues or amendments.
- Procurement:
- Coordinate the procurement process, including requisitions, purchase orders, and approvals.
- Track and manage inventory levels to ensure timely replenishment of supplies.
- Analyze purchasing trends and develop strategies to optimize procurement processes and reduce costs.
- Collaboration:
- Work closely with property managers and maintenance teams to understand their needs and ensure vendor services meet those needs.
- Coordinate with the finance department to ensure timely payment of vendor invoices.
- Communicate effectively with internal and external stakeholders to ensure alignment and transparency.
- Reporting:
- Maintain accurate records of vendor transactions, contracts, and performance metrics.
- Prepare and present reports on vendor performance, cost analysis, and procurement activities.
- Provide recommendations for improving vendor relations and procurement processes.
- Bachelor's degree in Business Administration, Supply Chain Management, or related field.
- 3-5 years of experience in vendor management, procurement, or a similar role, preferably in the property management industry.
- Strong negotiation and contract management skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and vendor management software.
- Ability to multitask and prioritize in a fast-paced environment.
