The Role:
Goddard is seeking a Project Coordinator to join our growing team. This position harmonizes strategic projects with vital administrative duties, acting as a key hub for coordination and communication within a vibrant and forward-thinking program. If you excel in a high-energy setting, relish tackling complex problems, and are adept at both operational and strategic responsibilities, this is a fantastic chance to make a meaningful difference. The Project Coordinator role is located in Beverly, MA and occasional travel to the Worcester area will be required.
Responsibilities:
Administrative Support
- Travel Logistics: Coordinate and manage detailed domestic and occasional international travel arrangements, including flights, accommodations, transportation, and itineraries to ensure seamless travel experiences.
- Correspondence Management: Triage emails, draft and proofread communications, and handle confidential materials with discretion.
- Purchase Order (PO) Processing: Process purchase orders and track material, ensuring efficient workflow and inventory management.
- Quote Preparation: Prepare and write quotes for pure Time and Materials (T&M) projects, ensuring clarity and precision.
- Reporting: Pull and compile data for reporting purposes, providing accurate and timely information to stakeholders.
Strategic Support
- SuiteProjects Pro Updates: Maintain and update professional services automation (PSA) system for projects, ensuring accuracy and timeliness.
- Engineering Change Order (ECO) Management: Actively chase and follow up on ECOs to ensure timely completion.
- Vendor Coordination: Quote materials and parts with vendors, ensuring competitive pricing and timely delivery.
- Toolbox Management: Manage Goddard-owned toolboxes at Client site, ensuring proper maintenance and availability.
- Quality Compliance: Ensure compliance with Goddard’s Quality Management System, adhering to all required standards and procedures.
Communication and Liaison
- On-boarding: Handle administrative tasks related to on-boarding new team members, ensuring a smooth transition.
- Point of Contact: Serve as a key point of contact for internal and external stakeholders, ensuring timely and professional communication.
- Meeting Preparation: Prepare summaries, briefings, and background materials for meetings, proactively addressing needs as they arise.
- Meeting Minutes: Attend meetings as needed, take minutes, track next steps, and ensure action items are addressed.
Qualifications:
- 5 years’ related experience.
- Experience with project management is preferred.
- Strong organizational and time management skills.
- Excellent communication (written as well as verbal), collaboration, and relationship-building skills with the client, technical team, and business development team.
- Detail-oriented with a focus on accuracy.
- Ability to handle multiple tasks and prioritize effectively.
- Experience with travel logistics, quoting, and PO processing is a plus.
- Familiarity with quality management systems and compliance requirements.
- Proficiency in the following software: Microsoft Project (or equivalent Gantt programs), Microsoft Office Suite, task tracking systems such as Asana, SuiteProjects Pro, etc.
