Job description
Head of Events is an exempt, full-time salaried position, 40 hours per week. Ability to work in-person, nights and weekends are required as needed to work events. As the Head of Events you are responsible for all the logistics for the live events.
Pre-Event Planning:
- Pre-ordering event book orders
- Tracking event book orders and additional items ordered to prepare for event
- Updating spreadsheets and sending reports
- Preparing run of show for each event
- Coordinate with all members involved to ensure smooth production of event
- Update booksellers with event information for customer inquiries
- Streamlining events and protocol for events
- Ensure appropriate staffing for each event
- Understanding POS to run reports, create guest list, running ticket sales
- Respond to event related questions in the events email inbox
On-Site Execution:
- Leading events team for set up and breakdown for event
- Point of contact for talent, AV, catering, security and vendors
- Running POS system for sales during the event
- Addressing any issues or emergencies that arise
- Ensure guest experience and satisfaction
- Introduce author from time to time
Post-Event Execution:
- Returning event books
- Reporting sales for event
- Evaluate success of the event and set goals for future events
Other Expectations:
- In house events when needed
- Manage Co-op opportunities with publishers
- Book selling at offsite events (this includes transporting books to an offsite location, set up/breakdown and sales)
- Assisting with large offsite events
The ideal candidate must have extraordinary event leadership skills, be well organized, decisive and flexible. A good driving record and personal transport is necessary. (We reimburse for mileage.)
Qualifications
- Bachelors degree in Hospitality is preferred
- Retail experience preferred
- Two to three years of experience and strong knowledge in event planning and management in the hospitality sector
- Strong Computer Skills required
- Understanding of Google Workspace
- Works independently
- Strong verbal and written communication
- Friendly and engaging personality
- Ability to stand for long periods of time and lift boxes of books, up to 40 lbs
- Ability to maneuver several flights of stairs over the course of 8-hour shifts
- Ability to work a flexible schedule including weekends and holidays as needed to meet the needs of the business.
