What are the responsibilities and job description for the Property Manager position at Governor's Island Club, Inc.?
Governor's Island Club ("GIC") is a private island community located in Gilford, NH. GIC is organized as a NH corporation, with a Board of Directors and small staff to maintain and manage community facilities. The GIC Property Manager is responsible for the management and support of the GIC community, including, but not limited to: daily operations, regular interaction with and support of 1) The Board of Directors, 2) Members/Residents, and 3) Contractors/Vendors, shareholder meeting preparation & attendance, budget preparation, event & venue management utilizing our clubhouse or facilities, and overall community business management.
Job Structure
· Year round. Salary based on 25 hours/week, but higher hours/engagement expected from early June through mid-September
· Occasional weekends in the summer when community events take place
· Fairly flexible schedule, but must be available for monthly regularly scheduled Board meetings and plan to be on-site more during high season. including being accessible from time to time on weekends.
Employees & Supervision
· General responsibility to supervise employees/contractors/vendors
o Work closely with Summer Event Support employee to ensure all social committee needs are properly staffed/covered
Community Support
· High level of customer service, timely answering of phone calls and responding to emails and other correspondence
· On call for beach, clubhouse, and community needs
Payroll & Finances
· Run books/finances for GIC on (on QuickBooks or other similar system) as directed by the Treasurer.
· Generate member invoices, including dues, fines, private event charges, etc.
· Monitor the budget and forecast the income and expenses monthly with the Treasurer
Procurement of Insurance
· Assist in seeking viable insurance bids and presenting the options to the Board and any claims notice or collections process
Communications
· Regular communications with GIC community
· Support social committee maintenance of the GIC community calendar
· Oversee website maintenance and upgrades, serve as primary web administrator
· Maintain residents’ website access and passwords
· Manage annual hard-copy GIC Directory
Board Of Directors
· Prepare monthly manager’s report for each BOD meeting
· Attend monthly BOD meetings
· Assist with annual meeting preparations, attend meetings
Building Committee Support
· Accept new project requests from residents, log date, and track responses throughout process
· Assist with permitting for any GIC owned property work - trees, waterfront, etc.
Policies & Procedures
· Review policies/rules (including by making regular physical inspection of the island) and make recommendations for policy changes across:
o Resident property rules
o Deed restrictions & enforcement
o Collection of assessments & dues
o Common property rules (tennis, pickleball, trails, clubhouse, etc)
Security & Enforcement
· Monitor security for the clubhouse including when the alarm is set, etc.
o Work with BOD to establish off-hours response system
· Review gate operations/usage
· Administer gate codes as needed - contractors, special events, etc.
· Maintain GIC Keycard database, distribution, and usage
Facilities & Maintenance of Common Areas
· Regular inspection of mechanical operations, security/cameras, other community property
· Ensure contracts for services are appropriate, competitive, and performed according to specifications.
· Implement effective preventative maintenance schedule (including regular updates/revisions)
· Administer all opening and closing of facilities and on-going maintenance
Qualifications
- Strong customer service skills
- Experience in property management a plus
- Proficiency in website support and maintenance
- Excellent conflict management abilities
- Administrative experience with filing systems
Job Type: Part-time
Pay: $40,000.00 - $50,000.00 per year
Expected hours: 20 – 30 per week
