Position Description –
The Administration – Receptionist Position is responsible for a wide-ranging set of administrative, reception, financial and order processing duties. Order processing responsibilities include processing customer purchase orders and managing the lifecycle of orders through shipment, invoicing, and collections. The position has contact with customers, vendors, and employees. Additionally, the person will participate as an active member of the Inside Support Team along with assisting other staff members to achieve company goals. Duties will require a high degree of interpersonal skills, communication, organization, and confidentiality.

The ideal candidate for the position shall have:
Education –
- A high school diploma.
Required Experience and Skills –
- A positive, upbeat, friendly manner at all times. The position is frequently the first contact a visitor or caller has with GPM.
- 3 years of administrative and reception experience.
- Interpersonal communication skills, both verbal and written, are necessary to effectively interact with team members, customers, and vendors.
- Strong prioritization, time management and organizational skills.
- Computer skills, including awareness of software program relationships and the ability to work quickly between multiple programs.
- Unquestioned moral and ethical behavior.
Responsibilities –
- Reception and phone answering duties.
- Wide ranging administrative duties including, filing, record keeping, mail distribution, supply ordering, facilities maintenance, and special projects.
- Financial duties include payment receipt and follow-up, order entry and expense processing including customer invoicing.
- Assure confidential information remains confidential.
- Process customer orders for a variety of customers using a variety of vendor entry systems.
- Various other duties as they are required.
Reporting –
The Administration - Receptionist reports directly to the Order Processing Manager.
Coordinates With –
- Order processing
- Chief Financial Officer.
- Members of the Sales Team and other GPM staff.
- Various staff from the represented and 3rd party companies.
- Customers including their purchasing and administrative staff.
Conditions –
Works in an office environment. Occasional travel for training or work at other GPM facilities. 40-hour work week, varying start time, with occasional work outside office hours. Occasional evening or weekend time may be necessary.
Location –
Duluth, MN. Office.
