We’re looking for a motivated and detail-oriented professional to join our team as an Administrative Operations Manager. This individual will play a key role in supporting our operations, maintaining client relationships, and driving efficiency in our day-to-day processes.
Job Description:
The Administrative Operations Manager will oversee administrative tasks, support the team, and manage client interactions while ensuring smooth office operations. The ideal candidate will be a quick learner, dedicated, adaptable, technologically savvy, and proactive in identifying opportunities to improve processes and enhance company efficiency.
Responsibilities:
- Sample Management: Accurately enter and manage client samples in our Laboratory Information Management System (LIMS).
- Client Communication: Serve as the first point of contact for clients, answering inquiries, providing updates, and maintaining strong relationships.
- Invoicing and Financial Tracking: Prepare and send invoices, track payments, and assist with financial management.
- Process Development: Create and implement office workflows and procedures to improve efficiency.
- Technology Utilization: Use Microsoft Word and Excel proficiently to prepare documents, reports, and spreadsheets.
- Problem-Solving: Think critically and propose innovative ways to save money or streamline operations.
- Executive Support: Assist management with scheduling, correspondence, and other executive-level tasks.
- Team Collaboration: Work closely with lab personnel and other staff to ensure seamless communication and task completion.
- Customer-Friendly Approach: Maintain a positive, customer-focused attitude in all interactions.
- Dedication to Work: Willing to work overtime hours as needed to meet deadlines and support the team.
Qualifications:
- Proven experience in an administrative, secretarial, or office management role (experience in a laboratory environment is a plus).
- Proficiency in Quickbooks, including invoicing.
- Proficiency in Microsoft Word and Excel.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication abilities.
- Quick learner with the ability to understand and manage complex processes.
- Ability to take initiative, think creatively, and work independently.
- Famialarity with LIMS or other management systems is preferred but not required.
- Strong problem-solving skills and a proactive mindset.
- Positive attitude and ability to work well in a team environment.
