Duties and Responsibilities
- Provide administrative support to the construction team, including project managers and supervisors.
- Organize and maintain project files, documents, and records, ensuring accuracy and accessibility.
- Coordinate and schedule meetings, site visits, and team communications.
- Keep management schedules updated, including coordinating appointments and meetings.
- Follow up on tasks to ensure timely completion and maintain project timelines.
- Handle permit applications and ensure all required documentation is submitted accurately and on time.
- Prepare and distribute correspondence, reports, and meeting minutes.
- Communicate professionally with team members, clients, vendors, and subcontractors.
- Assist in managing purchase orders, invoices, and expense reports.
- Monitor and maintain office supplies inventory, placing orders as needed.
- Support the team in tracking project timelines and deliverables.
- Assist in maintaining safety and compliance documentation.
- Obtain lien waivers from general contractors, subcontractors, suppliers, and other vendors providing goods and/or services on construction
- Send projects out to bid and collect subcontracts, insurance, and warranties.
- Auxiliary support to the accounting team for administrative and data entry tasks
- Some travel may be required – 10%
- Perform other administrative tasks as required to support the construction team.

The employee is frequently exposed to an environment of natural chemical fumes, herbal aromas, airborne particles, exposed to wet and/or humid conditions. Employee will have moderate exposure to conditions such as dust and particles that affect the respiratory system, eyes, or the skin, depending on department job assignments. Personal Protective Equipment is provided for employees to utilize and should be worn.
