A Day in the Life: Provide administrative support to the Eastern Iowa region. Assist with the office management, employee events, and maintaining a great work environment through physical and logistical resources. Assist construction project teams through administrative support.
JOB TITLE:Administrative Assistant/Project Coordinator
REPORTS TO:Eastern Iowa Vice President and Regional Leader
PURPOSE:The purpose of this job is to support the Regional Leader with administrative tasks and oversight of the Eastern Iowa Office. The role will also support project teams from a project coordinator role.
JOB DUTIES:
Administrative Assistant (60% of role)
- Sits at the front desk of the office; greets all visitors, clients, and vendors in a positive way on behalf of Graham Construction, a 3G Company by making a welcoming impression
- Conducts clerical duties, including filing, answer all incoming phone calls in a professional manner and directs those calls to the appropriate person.
- Assists in scheduling and planning company events as needed.
- Oversees professional operation and appearance of office; performs daily inspection walks throughout the office. Communicates with office cleaning, snow removal, and other office vendors. Assists the Czech Village Association with tasks they need assistance with.
- Ensures operation of office equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques, (i.e. entering codes for tracking use, ordering toner, loading paper, ensuring an adequate paper supply is available and clearing jams.)
- Manages and distributes incoming & outgoing mail, faxes, UPS and other deliveries
- Maintains stock and organization of employee supply closet, mailroom and wellness snacks
- Performs tasks and training for employee onboarding
- Manages and organizes monthly office functions (birthdays/new employee socials)
- Participates in company committee work as needed as well as liaison for our charitable volunteer projects.
Project Coordinator (40% of role)
- Sets up and coordinates administrative documents and duties for construction projects from beginning of project to project conclusion
- Assists with contracts, insurance certificates, and bid solicitation
- Reviews submittals, change orders, purchase orders
- Utilize Procore software to organize project documents and notes
- Represent Graham Construction in external meetings with owners and trade partners
- Ability to learn to understand and read architectural drawings from schematic to construction documents.
- Practices “Closeout Excellence”. Reviews, tracks, and compiles O&M manuals, extra material and warranty information.
- All other duties as assigned
- Participates in staff development activities
JOB REQUIREMENTS (Knowledge, Skills, & Abilities):
- Associates Degree or Bachelor’s degree preferred or equivalent experience
- Ability to work independently and complete duties and projects with little direct supervision.
- Ability to accurately work under pressure in meeting deadlines.
- Must have excellent organizational and communication skills.
- High attention to detail
- Ability to travel twice a quarter (8 times/annually) to Safety and State of the Company Meetings (overnights not required)
- Ability to pass physical capacity profile
- Ability to take and pass OSHA 30 certification
- This is an onsite role. Must have ability to report to Cedar Rapids, Iowa office Monday – Friday.
