Job Description Job Description Title : Payroll CoordinatorReports to : Senior Staff AccountantLocation : York, PAFLSA : / Type : Exempt; SalariedPosition Summary : This position has the dual responsibility of payroll coordination and administration, as well as accounts payable and accounts receivable responsibilities. Position administers the entire payroll function, which includes processing bi-weekly, multi state payroll, deductions and miscellaneous items. In addition, this position has the primary responsibility for other related activity / support for the Finance group as described below. Position performs special projects / tasks, as assigned. Requires the ability to maintain a high level of confidentiality regarding payroll, personnel and other confidential information obtained while performing normal job functions.Essential Responsibilities and Functions : Payroll -
- Responsible for the preparation and processing of biweekly payrolls on the ADP payroll system for over 150 employees; this includes the entire cycle of payroll processing.
- Multi-state payroll and tax responsibilities; remote employees in 9 states.
- Responsible for the coordination efforts between payroll, human resources, and other departments to ensure proper flow and maintenance of employee data (including preparation / distribution of detailed reports, e.g., overtime, leave balances, headcount, and retirement contribution reports).
- Handle the administration of the electronic timekeeping system. Setup of each employee, validate employees’ charges; monitor submissions of approved timesheets, and ensure valid data transfers to / from payroll software.
- Establish / maintain employee payroll records; ensure that employee changes are entered correctly and made on a timely basis; review changes for proper authorization and adherence to GEC policy including compliance with federal / state / local regulations.
- Record data concerning transfer of employees between departments.
- Ensures that payroll related transactions are processed in compliance with external and internal policies.
- Audits payroll information for accuracy.
- Enters required wage garnishments from Local, State or Federal agencies.
- Verify payroll output and reports for the payroll period.
- Maintains knowledge of rules and laws which govern the payroll administration practices.
- Ensures compliance with applicable government regulations.
- Manages 401K plan reconciliation and calculation for matching contributions and annual audit compliance.
- Work with payroll service provider and state agencies to reconcile tax inquiries and discrepancies.
- Prepares regular payroll reports, extracting data from payroll reporting module.
- Reconciles payroll deposits, tax withholdings, wage garnishments and voluntary deductions.
- Prepares payroll journal entries.
- Accurate and timely month end practices including running reports and reconciling to general ledger.
- Review and distribute year-end W-2s.Other Duties :
- Assist with the processing of accounts payable invoices and credits.
- Resolve invoice disputes with other internal departments.
- Assist with the processing of accounts receivable.
- Audit and processing of employee expense reports.
- Assist with the preparation of year-end accounting work papers.
- Other duties as directed to help achieve the goals and objectives of the Company.________________________________________Job Qualifications include : Education
- Associate or bachelor’s degree in accounting preferred, but not required.
- Requisite combination of skills and experience may replace degree.Experience
- Minimum of 5 years of experience processing payroll.
- 3 years of payroll experience with groups of 100 employees or greater.
- Experience working with ADP payroll packages is required.
- Prior experience in ADP WorkforceNow software is strongly preferred.
- Experience with Accounts Payable and Accounts Receivable preferred, but not required.Essential skills, behaviors :
