Job Summary:
We are seeking a dedicated and organized Office Assistant to join our construction company. The ideal candidate will provide administrative support to ensure the efficient and smooth operation of the office. This role is crucial for assisting with a variety of office-related tasks, handling documentation, communicating with contractors, vendors, and clients, and maintaining the overall office environment. Knowledge of architectural design software like Rhino, Revit, AutoCad, etc.
Key Responsibilities:
- Answer and direct phone calls, emails, and other communications.
- Assist with scheduling meetings, appointments, and site visits.
- Maintain filing systems for project documentation, contracts, and other important documents.
- Manage and update office supplies inventory, ensuring necessary materials are ordered.
- Provide support to project managers and other staff as needed, including preparing reports and documents.
- Process invoices, track payments, and assist with bookkeeping tasks.
- Coordinate with subcontractors, vendors, and clients for project-related needs.
- Handle mail distribution and document delivery to and from project sites.
- Organize and maintain office spaces to ensure cleanliness and safety.
- Assist with human resources tasks, including new employee orientation, filing, and recordkeeping.
- Perform general office duties such as photocopying, scanning, and data entry.
- Assist with preparation for company meetings and events.
Required Skills and Qualifications:
- High school diploma or equivalent; additional administrative or construction-related certifications are a plus.
- Proven experience as an office assistant, administrative assistant, or in a similar role.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
- Ability to multitask and prioritize effectively.
- Strong attention to detail and accuracy in recordkeeping.
- Ability to work well in a team and handle confidential information with discretion.
- Basic understanding of construction industry terminology or willingness to learn.
Preferred Skills:
- Experience in the construction industry or related field.
- Knowledge of construction project management software (e.g., Procore, Buildertrend).
- Familiarity with accounting software or billing procedures.

Physical Requirements:
- Ability to sit or stand for extended periods.
- Occasional lifting of up to 25 lbs.
