Financial Coordinator/Executive Assistant - Guilford, CT
**In-Office, Not Remote**
A leading wealth management firm is seeking a motivated, self-starter to join their team to support the CEO.
Role & Responsibilities:
- Manager calendar of the CEO, including scheduling meetings, coordinating availability for events/travel, arranging conference rooms, and manage calendar sharing with approved individuals.
- Coordinate on-site meetings and off-site events, including conferences, seminars, and webinars.
- Compose, proofread, and format business correspondence, including emails, memos, presentations, and other documents.
- File and organize paperwork, receipts, and records for executive access both electronically and in physical folders.
- Schedule executive travel and make related arrangements, including flights, ground transportation, accommodations, and itinerary planning.
- Submit and reconcile executive expense reports in a timely fashion.
- Attend meetings to take notes, record minutes, and complete any assigned follow-up or action items.
- Human Resources responsibilities, including employee relations, hiring, firing, training, and defining job descriptions.
- Ensure all office projects are progressing and on track for deadlines.
Experience & Qualifications:
- Three years' experience supporting a CEO or related executive as an administrative assistant, including calendaring and travel arrangements.
- Proficient in MS Office Suite and CRM systems.
- High degree of discretion and focus on confidentiality.
- Strong attention to detail and organization skills.
- Ability to think ahead, proactive versus reactive.
- Self-starter who takes initiative on deliverables.
- Ability to juggle multiple tasks and work in a high demand environment.
- Excellent written and verbal communication skills.
