The Accounting Assistant provides accounting support and processes accounts payable for the county. In addition, the position provides backup support in other areas of the office. The person may specialize in one area but is expected to develop advanced competency and provide service in several areas.
The Accounting Assistant provides accounting support and processes accounts payable for the county. In addition, the position provides backup support in other areas of the office. The person may specialize in one area but is expected to develop advanced competency and provide service in several areas.
- Assist in the preparation of financial reports, budget documents, and use tax.
- Prepare monthly use tax including gathering documents reportable to DOR, compiling and filing monthly use tax report.
- Annual processing of 1099’s, W-9’s and working with vendors to obtain required information
- Analyze vendor reports for accuracy before uploading to 1099 reporting software.
- Unclaimed property reporting to DOR after analyzing warrant activity, communicating with other departments or districts, and sending due diligence letters for uncashed warrants.
- Receive vouchers and supporting documentation from county departments and junior taxing districts for processing. Audit vouchers for correct vendor information, expenditure coding, authorized signatures, and supporting documentation.
- Assist departments with vendor numbers and maintain vendor data file.
- Ensure there is sufficient cash and budget before payment of vouchers.
- Prepare and submit a warrant report to the Board of County Commissioners for their final approval.
- Prepare and distribute approved warrants requested by county and junior taxing districts.
- Void, cancel, and reissue warrants as needed.
- Research vendor payments for county offices, junior taxing districts and vendors.
- Input adjustments and corrections as needed to expenditure file.
- Monthly reconciling and balancing of expenditures and financial transfers.
- Custodian of advance travel fund including issuing checks and monitoring timely reimbursements
- Audit travel expenses and reconcile checks to advance repayments.
- Monitor use of county Visa cards according to established county policies.
- Reconcile county department Visa bills, prepare voucher, and issue warrant for payment.
- Conduct physical inventory of office assets and report additions and deletions to inventory manager.
- Ability to be informed and communicate well regarding all departments
MISCELLANEOUS SUPPORT FUNCTIONS:
Licensing: - Open and closing of licensing department
- Balance daily transactions with cash and checks, make appropriate deposits
- Issue tab renewals
- Transfer vehicle and mobile home titles
- Maintain inventory of tabs, license plates and other tracked inventory
- Process both trip permits and disability permits
- Reconcile monthly bank statements
- Other miscellaneous function of licensing as required
- Maintain licensing certification and credentials in Department of Licensing
Recordings - Receipt and index recorded documents
- Verification of indexed information
- Retrieve indexed data as needed
Elections - Assist public registering to vote
- Directing voters to appropriate information sources
Other - Manage Advance Travel fund
- Back up support for Veterans Relief fund
- A high school graduate
- Advanced training, or experience, in bookkeeping or accounting (two years), or closely related field, is highly desirable
- Advanced training and experience with spreadsheets and word processing is highly desirable
- Must be bondable
- Experience working in multiple sections in the Auditor’s office
- Ability to effectively communicate financial information and maintain effective working relationships with officials, other employees, and the general public
- Proficiency with the current tools and programs available to perform functions of the job
- Demonstrated ability to work amicably with the public, other departments, and co-workers
- Must be able to read existing records in their original and stored formats.
- Knowledge of standard office equipment used in this position includes, but is not limited to: personal computer, printer, calculator, photocopier, and scanners
Salary : $57,600 - $67,692
