Job Summary
Great Northwest Transport is seeking a Transportation Coordinator to manage key administrative and compliance tasks related to transportation operations. This position is responsible for processing service orders, maintaining inventory, ensuring compliance with licensing and permits, and assisting with new employee onboarding. Additionally, the Transportation Coordinator will provide administrative support to the Accounting Manager and collaborate with various departments to maintain efficiency.
***This role is strictly administrative and does not include supervisory responsibilities.
Key Responsibilities
Administrative & Inventory Management
- Process and verify service orders, ensuring accurate records and timely updates.
- Maintain inventory records for transportation-related supplies and service parts.
- Assist with onboarding new employees, ensuring all documentation and training requirements are completed.
Safety & Compliance
- Ensure all company vehicles and equipment have up-to-date licensing and permits.
- Monitor and maintain compliance records in accordance with company policies and federal regulations.
- Support safety training programs and ensure adherence to regulatory requirements.
Equipment & Maintenance Tracking
- Update and maintain service order records to track maintenance and repairs.
- Coordinate with the maintenance team to monitor service needs and equipment status.
- Maintain detailed records of service history and compliance documentation.
Reporting & Documentation
- Generate and maintain reports related to service orders, inventory, licensing, and permits.
- Track and analyze data to identify opportunities for operational efficiency and cost savings.
- Organize and maintain documentation for audits and regulatory inspections.
Education & Experience
- High school diploma or equivalent required; an associate or bachelor’s degree in Business, Transportation, or a related field preferred.
- At least 2 years of experience in transportation administration, compliance, or logistics preferred.
- Familiarity with DOT, FMCSA, and licensing requirements is a plus.
Skills & Abilities
- Strong organizational skills with the ability to manage multiple tasks and priorities.
- Excellent attention to detail and accuracy in record-keeping.
- Proficiency in Microsoft Office (Excel, Word, Outlook) and transportation management software.
- Effective written and verbal communication skills.
- Ability to work independently and collaborate across departments to ensure compliance and operational efficiency.
Work Environment
- Office-based role with occasional interaction in warehouse or yard environments.
- Ability to handle time-sensitive tasks and work under pressure when necessary.
